Workweek

40 hours flexible schedule to meet departmental needs to include evenings and weekends. Additional hours beyond schedule bay be required.


Position Summary

The Administrative Assistant II is responsible for providing high-level administrative support to the department's senior administrator(s) within an assigned College department and/or division. This person will offer outstanding customer service to employees, students and external customers while maintaining smooth operation of the department's administrative functions. Their work is varied and will depend upon the needs of the department/division and the services their area provides to the greater McHenry County College (MCC) community.

Departmental Specific Duties:
The Administrative Assistant II - Athletics provides administrative support to the Director of Athletics, Intramurals and Recreation, and the programs and projects implemented by the department. The Administrative Assistant will work with the Director to make certain student athletes have the resources necessary to thrive at McHenry County College, both in the classroom and in their chosen sport. Their duties span a variety of responsibilities, which include but are not limited to: supporting all NJCAA compliance and reporting efforts; assisting with scheduling and coordinating the logistics of events; drafting, updating, and distributing internal communication; and monitoring and maintaining student-athlete groups in Colleague, the College's ERP system.


Essential Job Functions and Responsibilities

  • Serve as initial point of contact for all departmental/divisional inquiries, forwarding to and/or involving other colleagues as necessary
  • Provide administrative support to the department's senior administrator and for departmental/divisional projects and initiatives
  • Assist with meeting and event logistics in ways such as drafting agendas, taking and distributing meeting minutes, sending invitations, reserving facilities and scheduling A/V support, arranging for catering, and/or coordinating with MCC's Events team as needed
  • Support departmental/divisional compliance and reporting efforts by compiling and analyzing data, and assisting in preparing reports and other deliverables
  • Perform a variety of clerical duties, which may include, but are not limited to: create and maintain digital and paper files; create and/or edit documents; order supplies, enter and/or extract information from the College ERP and other systems; creation and maintenance of departmental policies, manuals, workflows and how-tos; enter support tickets for IT and/or facilities issues
  • Support the department/division's budgeting process and process specific financial or purchasing transactions, related but not limited to: administrator monthly credit card charges, purchase or payment (POP) forms, contracts, travel expenses, grants, and invoices
  • Represent the department/division at College or professional meetings, committees, trainings and/or seminars
  • Provide daily direction and training for staff and student employees
  • Work collaboratively with others (e.g. colleagues, stakeholders, vendors) to accomplish functions and responsibilities, including providing administrative backup for other departmental administrative support services during breaks, lunches, emergencies, vacations or other unexpected absences
  • Assume additional duties as assigned by immediate supervisor

Required Qualifications

  • Associate's degree from a regionally accredited institution, specialized training and/or coursework, or equivalent experience
  • Three or more years related experience
Desired Qualifications:
  • Bachelor's degree from a regionally accredited institution
  • Bilingual (Spanish/English) language skills
