Schedule: 40 hours/week, primarily Monday-Friday, with occasional evening or weekend hours for events
Work Modality: Hybrid eligible (1-2 days remote per week after probationary period)
Salary: $22.14 - $27.00 per hour

Reports to: IonE@UMD Director

Position Summary:
This position provides critical event coordination and administrative support for the Director of the Institute on the Environment - Duluth (IonE@UMD). The mission of the Institute on the Environment (IonE) is to promote interdisciplinary sustainability dialogue and action on campus and in the broader community. The Duluth hub of IonE, established in 2018, brings together faculty from all UMD colleges, Duluth City Sustainability Officers, and the UM Regional Sustainable Development Partnerships.

The position focuses on planning and implementing events and initiatives that foster collaboration among UMD faculty, staff, students, and the broader Duluth community, with the overarching goal of advancing sustainability efforts.This role supports a variety of programming, including the annual "Our Climate Futures" conference, monthly IonE@UMD Affiliate events, undergraduate outreach, and community-campus field trips related to sustainability topics. The position also assists with sustainability-related data collection and reporting, including updates to the UMD Sustainability Portal and the administration of a biennial undergraduate sustainability survey.

This is a temporary position for one-year with the possibility of extension dependent on available funding.

Essential Functions:

Event Planning and Support (60%)

  • Serve as primary administrative lead for IonE@UMD event planning and evaluation
  • Coordinate logistics for monthly Affiliate events, undergraduate outreach, and annual conferences
  • Make decisions related to vendors, budget, menu planning, and overall event logistics
  • Liaise with community partners and support their engagement (e.g., travel, logistics)
  • Lead weekly event planning meetings with the IonE@UMD Director
  • Coordinate with IonE - Twin Cities on collaborative programs
  • Manage communications for IonE@UMD Affiliate programming
  • Monitor and track monthly event budgets

Administrative Support (35%)

  • Coordinate purchasing, travel arrangements, and reimbursements
  • Organize meetings: logistics, scheduling, and minutes
  • Maintain communications with IonE - Twin Cities
  • Document and update office procedures
  • Compile and refine data for annual updates to the UMD Sustainability Portal
  • Implement and support analysis of a biennial undergraduate sustainability survey (IRB-approved)
  • Assist in generating reports and managing internal documentation
  • Support ad hoc administrative or project-related tasks as needed

Qualifications

Minimum Qualifications:

  • BA/BS degree or a combination of related education and work experience to equal at least four years

Preferred Qualifications:

  • Experience coordinating and engaging with community organizations in the region
  • Demonstrated success managing complex scheduling and event logistics
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint)
  • Strong organizational, multitasking, and problem-solving skills
  • Excellent written and verbal communication with attention to detail
  • Ability to work independently and adapt to changing priorities
  • Commitment to diversity, equity, and inclusion, with experience working across diverse communities (e.g., people of color, individuals with disabilities, LGBTQ+ individuals, first-generation college students)
  • Demonstrated ability to build and maintain effective relationships with a broad range of internal and external stakeholders
Pay and Benefits

Pay Range: $22.14 - $27.00 per hour; depending on education/qualifications/experience

Time Appointment Category: 75%-100% Appointment (If job description above does not specify appointment or expected weekly hours, assume a 100% appointment.)
