Job Description:

The Airmen Certification Organization Designation Authorization (AC ODA) Specialist delivers on our Purpose by providing administrative support such as record keeping and scheduling to ensure ODA records are complete, accurate and properly maintained. They'll also ensure technology and other resources are available to exercise authorized functions, assist in the preparation of written reports, coordinate with stakeholders throughout the ODA and Southwest Airlines, and interact with representatives of the FAA. The AC ODA Specialist is a self-starter who is organized, detail-oriented, and eager to support impactful initiatives that drive the future of Southwest.

Responsibilities
  • Maintains electronic schedule of qualified APD UMs to perform Airman Certificate Qualification Review (Administrative)
  • Matches applicant appointment requests for Airman Certification Review (Administrative) to available qualified APD UM
  • Notifies APD UMs and ODA Administrators about upcoming APD UM training due dates and overdue training
  • Ensure availability of APD UM resources (computers, printers, rooms, etc.) are in working order; facilitate repairs and acquisition of supplies as required
  • Ensure sufficient supply of FAA forms are available to APD UMs in the event electronic sources are not available
  • Monitors Administrator computer-based dashboard in QuickBase for UMs who have not completed post activity reports
  • Maintains a collaborative working relationship with the Federal Aviation Administration
  • Author correspondence on behalf of Southwest Airlines and the ODA regarding Airman Certification and ODA activities including FAA requests for Airmen Certification or ODA information and APD UM communication
  • Performs records research to support ODA activities
  • Supports the ODA in conducting internal quarterly/annual audits, interference investigations, and FAA audits
  • Processes and ensures ODA records are complete, accurate and properly maintained
  • Ensures ODA records are retained in Southwest's electronic records keeping repository
  • Processes, reviews and submits certification packages completed outside of IACRA to the Organization Management Team in accordance with ODA processes
  • Develop methods to streamline processes
  • Train and mentor coworkers as needed
  • May perform other job duties as directed by Employee's Leaders
Knowledge, Skills, and Abilities
  • Possesses and demonstrates highest level of integrity in performance of all duties
  • In-depth knowledge of airmen certification forms and tests
  • Broad understanding of the Southwest Airlines Advanced Qualification Program (AQP)
  • Broad understanding of Title 14 of the Code of Federal Regulations
  • Proficient in Microsoft Office tools (Excel, PowerPoint, Word, Teams, etc.) and QuickBase
  • In-depth knowledge of FAA and Southwest ODA record keeping policies as it relates to Airmen Certification
  • Ability to demonstrate and maintain a high regard for confidential, sensitive, and personal privacy information
  • Ability to communicate effectively with all levels of employees and the FAA (written, oral, interpersonal)
ducation
  • Required: High School Diploma or GED
Experience
  • Entry-level experience, developing skills and knowledge in:
    • Airmen certification; regulatory compliance; auditing; certification records; airmen certification testing through AQP
  • Preferred: Administrative, clerical, auditing, and compliance experience

Physical Abilities
  • Ability to perform work duties from [limited space work station/desk/office area] for extended periods of time
  • Ability to communicate and interact with others in the English language to meet the demands of the job
  • Ability to use a computer and other office productivity tools with sufficient speed and accuracy to meet the demands of the job
Other Qualifications
  • Must maintain a well-groomed appearance per Company appearance standards as described in established guidelines
  • Must be a U.S. citizen or have authorization to work in the United States as defined by the Immigration Reform Act of 1986
  • Must be at least 18 years of age
  • Must be able to comply with Company attendance standards as described in established guidelines
  • Must meet confidentiality expectations as to confidential, proprietary and sensitive Company information

Pay & Benefits:

Competitive market salary from $71,450.00 per year to $79,400.00 per year* depending on qualifications and experience. For eligible Leadership and individual contributor roles, additional bonus opportunities are available and awarded at the discretion of the Company.
