Position Description:
In the role of Executive Assistant, you will provide administrative support for the CEO, COO, and AVP, Finance of Medical College Physicians (MCP). This role is critical in ensuring the smooth operation of executive functions and enabling leaders to focus on strategic priorities that improve patient care and organizational performance. Under general direction, perform routine and advanced administrative duties requiring considerable skill and in-depth knowledge of organizational policies and procedures. Duties include diligent management of dynamic calendars, initiating correspondence and providing requested data to leadership workgroups, analyze data, prepare final reports, manage special projects, and provide leadership as necessary. Work with team to process financial transactions for the designated cost centers. Serve as liaison to both internal and external customers. Position requires coordination of a variety of activities simultaneously. Expected to function independently of direct supervision and exercise sound judgment in handling confidential information with senior management and senior medical officers.
Primary Responsibilities
- Provide administrative support for Chief Executive Officer, Chief Operating Officer, and Associate VP, Finance of Medical College Physicians. Maintain executive appointment schedules by planning and scheduling meetings, conferences, teleconferences and travel. Expectations include arranging travel, accommodations, itinerary and correspondence related to individual and group travel.
- Serve as a liaison between executives and internal/external stakeholders.
- Anticipate and initiate action regarding administrative functions while coordinating and leading projects
- Use complex functions of a variety of computer applications and software packages to compile data and information from multiple sources to prepare reports and presentations for use at local, regional and national events.
- Compose correspondence as needed, which may contain confidential information. Proofread and format documents to ensure accuracy. Screen telephone calls and visitors to resolve complex inquiries.
- Exceptional customer service skills required.
- Provide committee support including agenda tracking and maintenance, scheduling speakers, gathering documents, record keeping and correspondence with committee members as directed
- Manage leader time and projects by providing preliminary research, correspondence, drafting documents and initiating communications Anticipate and initiate action regarding administrative functions while coordinating and leading projects.

Strong written and verbal communication abilities
Proficiency in Microsoft Office Suite and virtual collaboration tools (e.g., Teams, Zoom)
Ability to manage multiple priorities with a high degree of accuracy and professionalism

- Associate's Degree
- 5 years of executive assistant experience
