Current MaineHealth employees are ineligible; former MaineHealth employees are ineligible until greater than 6 months separation from employment.

New Patient Access Representative - Primary Role Summary

TheNew Patient Access Representativeserves as a vital first point of contact for adult patients seeking care. This role ensures a seamless and welcoming experience by efficiently managing appointment scheduling, patient communications, and follow-up outreach. The representative supports both newly referred patients and unassigned individuals transitioning from inpatient to outpatient care.

Key Responsibilities

  • Appointment Scheduling
    • Accurately coordinate and schedule new patient appointments.
    • Prioritize timely access to care for all incoming patients.
  • Hospital Discharge Support
    • Facilitate outpatient follow-up appointments for unassigned patients discharging from inpatient settings.
  • Recall List Management
    • Proactively work from a recall list to contact patients and schedule necessary appointments.
  • Communication Management
    • Answer incoming calls promptly and professionally.
    • Respond to in-basket messages and electronic communications in a timely and courteous manner.
  • Patient Registration
    • Complete full and accurate patient registration.
    • Ensure all demographic, insurance, and contact information is current and verified.
  • Telephone Encounters
    • Document all patient interactions clearly and thoroughly in the Electronic Health Record (EHR)
  • Onsite for training in South Portland then remote flexibility
  • **must be located in Maine**
  • Full time 40 hours per week
  • 8:00AM-4:30PM Monday-Friday

Required Minimum Knowledge, Skills, and Abilities (KSAs)

  1. Education: High school diploma or GED preferred.
  2. License/Certifications: N/A
  3. Experience: Six months of medical office experience required.
  4. Additional Skills/Requirements Required: N/A
  5. Additional Skills/Requirements Preferred: Proficient computer skills.
