Job Description The Allstate creative community is part of the Marketing, Innovation, and Corporate Brand (MICB) team. While we are a geographically distributed enterprise, most of the team - including leadership - is Chicago-based. The creative community consists of a wide variety of skills and disciplines - from brand advertising to digital product design, as well as a full content and production studio. This team is responsible for how the Allstate brand shows up in the world, from the largest tentpole media events to the smallest digital micro-interactions, and everything in between. We are design and consumer obsessed, always looking for ways to create and strengthen relationships between Allstate and customers.This position is a Chicago-based hybrid role, meaning your schedule will consist of time in the office and time working remotely from your home. The Allstate hybrid model is intended to provide greater flexibility - and means something different to each team, job, and employee. At this time there is not a specific "days per week" mandate for this role; your office presence will be determined by the nature of the work and the team's needs. The Creative Community Administrative Specialist role is responsible for supporting the Chief Creative Officer and the creative department, championing a cohesive culture and coordinating employee engagement initiatives to promote a positive work environment. This role will also collaborate with peers across our area of responsibility, MICB, to support the broader goals of MICB and the Allstate enterprise. To succeed in this role, qualified candidates will be systems thinkers who can understand the broader landscape of Allstate, and the role the creative community serves within it. In addition to supporting routine day to day administrative tasks, this role is intended to understand the employee perspective with the goal of driving engagement, morale, and strengthening culture. This role is in a fast-paced, high-tech environment and requires the sensitivity of a concierge: anticipating the needs of the department while being adaptive to the evolving demands of a rapidly changing environment; as well as having the ability to gets things done efficiently and independently. This role will provide comprehensive administrative support to the Chief Creative Officer by applying in-depth knowledge of enterprise policy. KEY RESPONSIBILITIES * Provides complex screening, fielding, prioritizing of inbound communications via telephone, mail, and e-mail to resolve critical issues in a timely manner * Prepare and schedule activities such as travel arrangements, internal and external business meetings, client or third-party appointments, conferences and general office events, including scheduling of conference room use and catering needs * Monitoring expenses for the department with a responsibility to budget adherence; review and coordinate approval of expenses including processing accounts payable invoices * Create, format, type, edit, proof, and finalize reports and presentations for CCO * Proactively take responsibility for calendar management by maintaining appointment schedules * Open, sort, review and organize incoming/outgoing correspondence * Independently draft/compose routine correspondence from verbal direction or from knowledge of processes and procedures * Acts as a catalyst for positive change and brings a great passion for creating and promoting a positive work environment that is flexible, encourages fun, personal accountability, teamwork, and ongoing professional development * Drives employee engagement projects and program execution * Makes guests feel welcome and fosters an environment that makes community members want to work out of our space * Take responsibility for making workspace welcoming and productive; make sure people can be productive in the office environment * Supports the facilitation of onboarding processes; build a foundational business knowledge for new employees * Supports the internship program, acting as the primary liaison between our department and internal and external partners * Makes judgments and/or recommendations as appropriate in growing and monitoring community participation/engagement and supporting the development of the desired culture * Supports continuous learning and team effectiveness initiatives and identifies what additional information is needed to understand impact of alternatives, and improve programs * Work with junior and senior level technical staff, intercompany group leaders, and office leaders as well as area and corporate management to make certain their needs are addressed in a timely, professional manner SUPERVISORY RESPONSIBILITIES This job does not have supervisory duties. EDUCATION AND EXPERIENCE * 4-year Bachelor's Degree (Preferred) * 2-plus years serving in a related capacity for a creatively driven department or organization, such as a design, advertising, post-production, or architecture studio.
