IMP) at the GW School of Medicine and Health Sciences (
SMHS) has cultivated global partnerships to create transformational mutual exchange in medical education, training, and research. As a pioneer in international medical education, training, and research,
IMP has developed, coordinated, and completed over 150 projects in over 50 countries, touching the lives of more than 12,000 healthcare professionals, students, and patients around the globe.
This is an exciting opportunity to contribute to the
IMP office managing one of IMP's flagship programs, the Medical Research Fellowship Program (
MRFP), which provides international medical graduates with the skills necessary to enhance their research careers and pursue graduate medical education in the U.S. In addition, this position manages the GW Medicine International Scholars Program, overseeing the issuance of all J-1 and H-1B visa paperwork for the School of Medicine and Health Sciences (
SMHS), and responsible for writing and editing proposals and managing the editing and processing of legal agreements. This position also supports strategic initiatives and new programs/projects at
IMP. This position will report to the Associate Dean.
Specific responsibilities include but are not limited to:
Medical Research Fellowship Program: Responsible for the overall management and implementation of the MRFP:
- Prepares marketing materials; responds to daily inquiries; completes competitive analysis; meets with potential applicants; makes presentations about the program; promotes the MRFP via a variety of networks including current participants, alumni, partners, etc
- Reviews and processes applications, conducts interviews, and issues acceptance letters
- Completes pre-arrival paperwork, obtains access to various GW systems for each participant, prepares and processes J-1 visa paperwork, and plans and conducts orientation sessions
- Recruits GW faculty mentors and matches accepted participants with appropriate mentors in their specialty; meets with faculty members to discuss roles and responsibilities; prepares service agreements; maintains regular communication with mentors to ensure participants are meeting expectations
- Advises and counsels participants on personal and professional matters; ensures full participation and completion of program requirements; promptly addresses issues as they arise
- Develops and updates annual curriculum based on the needs of each cohort and sponsor requests; recruits and schedules lecturers and instructors
- Maintains excellent records and statistics; tracks outcomes of each participant, cohort, and the overall program; conducts regular surveys and assessments to evaluate the program; prepares annual progress reports for each participant and other reports as required
- In coordination with IMP leadership, develops and monitors annual program budget
GW Medicine International Scholars Program:
- Initiates J-1 and H-1B visa application documents in compliance with SMHS, GW, and U.S. Department of State requirements and advises SMHS and MFA faculty on required paperwork and steps; routes visa package to obtain required SMHS approvals; routes to the International Services Office (ISO) for processing
- Manage and update guidelines for SMHS and MFA departments hosting international scholars
- Maintains excellent and accurate records of all international research scholars at SMHS and MFA; prepares reports as requested
- Conducts orientation sessions for incoming scholars; completes pre-arrival paperwork; obtains access to various GW systems and facilities
- Provides ongoing support to scholars as needed and includes scholars in IMP and SMHS events
Proposal Writing:
- Prepares proposals by determining concept, gathering and formatting information, writing drafts, and obtaining approvals
- Meets proposal deadlines by establishing priorities and target dates for information gathering, writing, review, approval, and transmittal
- Enters and monitors tracking data
- Develops proposal by assembling information including project nature, objectives/outcomes/deliverables, implementation, methods, timetable, staffing, budget, standards of performance, and evaluation.
- Writes, revises, and edits drafts including executive summaries, conclusions, and organization credentials
- Maintains quality results by using templates; following proposal-writing standards including readability, consistency, and tone; maintaining proposal support databases
- Obtains approvals by reviewing proposal with key providers and project managers
Legal Agreements:
- Prepare draft legal agreements for international programs and collaborations using IMP agreement templates
- Send agreements for internal review/feedback/approval by the Office of General Counsel (OGC) and other GW offices as applicable
- Send agreements for review/feedback/approval by the other party
- Fill out agreement routing sheet on SharePoint to route agreement to SMHS Dean's office and Provost's office for review and signature
- Review, edit, and route agreements sent by all other departments within SMHS
Report Preparation:
- Prepare IMP annual reports to leadership on yearly activities, updates, and outcomes for the MRFP, GW Medicine International Scholars Program, and international agreements
- Submit reports on behalf of SMHS for international activities including bi-annual reports on international gifts and contracts funding and report on GW Compliance with U.S. Anti-Boycott Laws
- Complete additional reports and updates required on international activities when necessary

Minimum Qualifications: |
Qualified candidates will hold a Bachelor's degree in an appropriate area of specialization plus 2 years of relevant professional experience, or, a Master's degree or higher in a relevant area of study. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience. |
