The Opportunity:

The Executive Administrator role provides direct assistance to a member of the Technology Leadership Team, including administrative (expenses, travel, training, scheduling), budgeting/financial, event planning, and operational support. This is an ideal position for an experienced individual with a positive can-do attitude, used to working in a dynamic, fast-paced environment. The role is based in Visa's Highlands Ranch office.

The Work itself:

  • Provide comprehensive administrative support to the Vice President, including but not limited to managing calendar, scheduling meetings, and coordinating associated logistics.

  • Ensure all incoming and outgoing communications are handled promptly and effectively,

  • Assist with presentations, templates, reports, meeting minutes and pre-read materials as required for town halls, meetings, and other events.

  • Manage and coordinate domestic and international travel arrangements for the Vice President and other staff members as required.

  • Manage Purchasing Card (PCard) expenses for the department, reconciliations, and ensuring that it is used for approved purposes.

  • Ensuring the upkeep and management of local Snack Bars. Liaise with local facilities team

  • Monitor and manage training requests via the ticketing system, ensuring they adhere to the budget and are accurately recorded.

  • Actively contribute to creating a workplace culture that values diversity and inclusion by planning team building events and activities that are accessible and enjoyable for everyone.

  • On-site event logistics: coordinating with other EAs as well as facilities, A/V and catering teams for scheduling, reserving rooms, catering, assisting with invite/follow-up distribution, purchasing, technical aspects, and distributing prizes, manage any associated shipments, etc.

  • Help foster open communication within the team, ensuring all voices are heard and valued.

  • Assist with team and site communications.

  • Maintain Visa "swag" cabinet for events and leadership visits.

  • Prepare and present reports on travel and training expenses to the senior management members.

  • Work with other senior leadership executive assistants to create seamless office operations.

  • This role at times requires off-hours responsiveness (for example when the executive is in a different time zone)

  • Handle sensitive information in a confidential manner.

This is a hybrid position. Expectation of days in the office will be confirmed by your Hiring Manager.

Qualifications

Basic Qualifications

Bachelors degree, OR 3+ years of relevant work experience.

Preferred Qualifications

2 or more years of work experience

Associates degree or equivalent work experience, with a minimum of 5 years'

experience.

Strong communication (written and verbal), detail-oriented, highly organized

and ability to work across functions with executives (both internal & external)

Intrinsically motivated, highly organized and results oriented. Able to work with

little to no supervision. Demonstrated initiative, flexibility, teamwork, maturity

under pressure, and can anticipate and resolve problems before they escalate.

History of creative problem solving, analytical skills, ability to work well

collaboratively and under pressure.

Experience creating and/or supporting presentation development for senior

management.

Experience in Microsoft Outlook, Excel, PowerPoint, SharePoint. (Must have

Excel experience.) Additional experience with SAP Concur and Ariba would be

beneficial.

Highly proficient in organizing travel.

Detail-oriented and ability to complete work assignments with a high degree of

quality.

Ability to manage multiple tasks and assist multiple team members at the

same time.

Additional Information

Work Hours: Varies upon the needs of the department.

Travel Requirements: This position requires travel5-10% of the time.

Mental/Physical Requirements: This position will be performed in an office setting. The position will require the incumbent to sit and stand at a desk, communicate in person and by telephone, frequently operate standard office equipment, such as telephones and computers.

U.S. APPLICANTS ONLY: The estimated salary range for a new hire into this position is 63,200.00 to 89,500.00 USD per year, which may include potential sales incentive payments (if applicable). Salary may vary depending on job-related factors which may include knowledge, skills, experience, and location. In addition, this position may be eligible for bonus and equity. Visa has a comprehensive benefits package for which this position may be eligible that includes Medical, Dental, Vision, 401 (k), FSA/HSA, Life Insurance, Paid Time Off, and Wellness Program.
