Job Purpose

The Receptionist maintains the reception desk, provides outstanding customer service, and coordinates company events. Additionally, this role will provide backup support for the Sales Coordinator at their respective branch location.

Responsibilities



  • Quickly take all incoming calls and route to the appropriate destination.
  • Greet incoming customers and visitors.
  • Manage and process incoming and outgoing mail for internal and external customers.
  • Provide outstanding, high-quality, professional customer service to both our internal and external customers.
  • Order and maintain office supplies based on office inventory.
  • Plan and arrange catering for customer demo's, office meetings, and ad hoc departmental requests.
  • Assist in the training of any team members or assigned replacements in anticipated absence.
  • Continually look for opportunities to improve processes and identify ways to increase efficiency and minimize ordering costs.
  • Provide backup support for Sales Coordinators including assistance with sales daily reporting, assembling RFPs, pulling customer trending reports and preparing various sales materials for proposals as needed.
  • Support data entry as well as labeling/ stuffing mailings for Account Executives as needed.
  • Miscellaneous job duties as assigned.


Requirements



  • High school diploma or equivalent.
  • Excellent organizational skills.
  • Excellent customer service skills.
  • Good written and oral communication skills.
  • Ability to multi-task.
  • Proficient with Microsoft Office applications, including Word, Excel, and Outlook.
  • Ability to lift up to 25 pounds.


Working Conditions



  • Work is normally performed in a typical interior/office work environment.
  • No or very limited exposure to physical risk.
