If so, we are looking for someone like you to join our team at APL.

As the Executive Assistant for the Business Construction and Facilities Department (BCFD), you will provide critical support to APL's CFO / Department Head, and other members of the senior leadership team, ensuring operational excellence and professionalism across daily engagements, strategic initiatives, and internal/external interactions.

As the Executive Assistant, you will...

  • Manage complex executive calendars, including proactive scheduling, prioritization, and coordination of meetings and engagements.
  • Ensure leaders are thoroughly prepared with all meeting materials, background documents, and logistics in advance.
  • Act as a central point of contact for internal and external stakeholders, handling communications and information flow with professionalism and discretion.
  • Prepare and edit correspondence, reports, and presentation materials; maintain organized files and digital records.
  • Anticipates executive needs by understanding work rhythms and priorities; proactively monitors and organizes the inbox to route information efficiently and facilitate timely, informed decision-making.
  • Manage domestic and international travel arrangements and reimbursements, and oversee monthly p-card reconciliation.
  • Support meeting logistics, including coordination of formal engagements with external partners and leadership teams.
  • Demonstrated excellence in problem-solving, critical thinking, and analytical skills.
  • Contribute to special projects and initiatives as assigned.

Qualifications

You meet our minimum qualifications for the job if you...

  • 10+ years of administrative/office experience.
  • 5+ years of recent experience supporting senior-level executives.
  • Demonstrated ability to operate with a high degree of discretion and independence.
  • Proven ability to prioritize multiple competing demands in a fast-paced environment.
  • Strong organizational, time-management, verbal/written communication, and interpersonal skills.
  • Advanced proficiency in Microsoft Office Suite.
  • Excellent judgment, attention to detail, and follow-through.
  • Demonstrates sound judgment and discretion in handling sensitive personnel and organizational information with the utmost confidentiality and professional maturity.
  • Hold US Citizenship or permanent resident status, as required to access APL's facilities and networks, subject to applicable laws.

You'll go above and beyond our minimum requirements if you...

  • Bachelor's degree in Communications, English, or related field.
  • Familiarity with BCFD or APL administrative systems (e.g., travel, procurement, security, and property processes).
  • Experience supporting executive leadership in a mission-driven organization.

The referenced pay range is based on JHU APL's good faith belief at the time of posting. Actual compensation may vary based on factors such as geographic location, work experience, market conditions, education/training and skill level with consideration for internal parity. For salaried employees scheduled to work less than 40 hours per week, annual salary will be prorated based on the number of hours worked. APL may offer bonuses or other forms of compensation per internal policy and/or contractual designation. Additional compensation may be provided in the form of a sign-on bonus, relocation benefits, locality allowance or discretionary payments for exceptional performance. APL provides eligible staff with a comprehensive benefits package including retirement plans, paid time off, medical, dental, vision, life insurance, short-term disability, long-term disability, flexible spending accounts, education assistance, and training and development.
