Position Description

The ideal candidate will serve as a subject matter expert capable of bridging the gap between vendor technology and clinical operations. They must possess a strong understanding of the product's functionality and troubleshooting techniques, enabling them to validate system performance and identify issues. This includes evaluating current workflows, recognizing opportunities for optimization, and recommending improvements in either system design or operational processes. The candidate should have firsthand industry experience in Dentrix and demonstrate deep familiarity with the application of electronic health records in that setting. They must work to resolve issues and change requests. They must be able to confidently lead discussions with diverse stakeholders, assess current-state workflows, and propose enhancements that consider both immediate needs and downstream impacts. Additionally, they should be adept at articulating changes to affected groups, integrating those insights into training content and communication strategies to support long-term success across future rollouts.

Type of Employment: Full-Time salaried and fully benefited position

Work Location/Travel: Expected 50% travel required; applicants must be free from travel restrictions to accommodate evolving needs of the client.

Salary Range: $81,017 - $98,170 base salary, depending on experience and location.

Direct Reports: This role has no direct reports

Responsibilities:

  • Utilize Dentrix software to schedule patient appointments, manage clinical documentation, and support billing workflows

  • Input and maintain accurate dental records including clinical notes, treatment plans, radiographs, and procedure codes

  • Coordinate dental care activities across providers, hygienists, and administrative teams

  • Assist in the transition or optimization of Dentrix modules in alignment with VA dental practice standards

  • Ensure proper documentation and compliance with HIPAA, VA guidelines, and infection control policies

  • Generate reports related to patient flow, productivity, treatment history, and billing accuracy

  • Provide first-level Dentrix support to clinical users, escalating technical issues as needed

  • Support implementation of workflow improvements and system enhancements

Knowledge and Skills Required:

  • Thorough understanding of dental workflows, CDT coding, and clinical documentation

  • Familiarity with VA dental care protocols, standards of care, and compliance regulations

  • Ability to manage and organize large volumes of patient information accurately

  • Strong communication and interpersonal skills with both clinical and administrative staff

  • Attention to detail and ability to work in a fast-paced, veteran-centered care environment

  • Ability to identify, communicate, and implement workflow improvements based on system capabilities.

  • Strong problem-solving skills and an ability to independently resolve technical issues.

  • Polished interpersonal skills and proven success in customer-facing, patient-facing, or stakeholder-facing roles.

Education/Certification Required:

  • Bachelor's degree in Health Information Management, Dental Informatics, Healthcare IT, Computer Science, or a related clinical/technical field

Experience Required:

  • 5+ years of experience in a dental setting using Dentrix (VA workflows, templates, and documentation practices) including supporting Cerner EHR implementations

  • Experience in dental front office coordination, clinical assisting, or application support

  • Knowledge of VA dental documentation and reporting standards preferred

Technical Skills Required:

  • Proficient in Dentrix G6 or higher, including Appointment Book, Chart module (clinical notes, treatment planning), Ledger and billing functions, Document Center and Imaging integration

  • Familiarity with Windows-based operating systems and VA-specific software (e.g., CPRS, VistA) preferred

  • Comfortable with VA systems like Time & Attendance (VATAS), TMS, or VistA Imaging (optional but desirable)

  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) for communication and reporting

  • Ability to troubleshoot EHR issues and provide peer-level support or user feedback
