How You Will Be Making A Difference

Under the direction of the Vice President of Behavioral Health & Outpatient Services, assist in the provision of administrative, programmatic and budgetary oversight. Oversee non-clinical program functions including accounts payable/receivable, information systems, human resources, and facilities. Assist in developing/implementing protocols, procedures and new initiatives as needed and assigned.



  • Assist in the planning and coordination of annual operating budget process for all BH Programs. Coordinate, approve, and process program expenditures in conjunction with the Vice President and Assistant Vice President of Behavioral Health & Outpatient Services.
  • Assist in the review, implementation and enforcement of program protocols and procedures. This includes program evaluation standards and procedures as well as implementing actions required by Performance and Outcomes, Utilization Review and licensing/accreditation bodies.
  • Assist Vice President and Assistant Vice President of Behavioral Health & Outpatient Services with licensing and accreditation requirements of all local, state and federal governing bodies such as DPH, DPS, EEC, DMH, COA, Boston Fire and Inspectional Services departments, etc.
  • Ensure that the program's physical environment of care routinely operates within the guidelines and mission of the Home to provide healthy development and optimal care for its children at risk, their families and their communities
  • May represent the Program/Agency at internal and external meetings. Maintain effective working relationships with Agency staff, community, state and local agencies, Program employees, clients and families.
  • Provide on site assistance personnel as the Human Resource liaison. Coordinate all Human Resource functions and communication with HR department, including benefit administration, compensation and upkeep of personnel files. Assist Program Heads in process of hiring, performance management, termination and changes in status of personnel
  • Act as the liaison with the Accounting and Finance Department. Implement systems to ensure accounts receivable and payable activities are tracked accurately and submitted for approval and payment in a timely manner. Oversee processing of payroll as needed.
  • Provide on site assistance to personnel as the liaison with the training department. Develop and maintain effective tracking system and assist Department Heads in ensuring adequate and timely completion of training requirements by personnel.
  • In collaboration with the Vice President of Behavioral Health & Outpatient Services, provide onsite assistance to personnel as the liaison with the Performance and Outcomes Department. Implement and ensure functionality of electronic information systems including, client information databases, incident reporting, electronic record keeping and outcome measures.
  • Maintain Program protocol manual. Assist Program Heads in ensuring systematic procedure for development and communication of new program guidelines as well as periodic review and revision of existing procedures.
  • Provide effective means of timely and thorough communication of client service delivery and billing information between the Program, departments, and funding agencies. Assist in the RFR process.
  • Oversee all ordering of program supplies and maintain records of all expenditures, requisitions and purchase orders
  • Assist Vice President and Assistant Vice President of Behavioral Health & Outpatient Services and Department Heads in development of proposals (RFR, Grant, etc.), community-based programs and funding that support the treatment mission of the Program
  • Develop and maintain systems to track client demographic and statistical information. Generate reports as related to outcome based service delivery and areas of risk management, including monthly quarterly and biannual/annual reports to departments, funders and EEC.
  • Serve as the Human Rights Coordinator, supervise Human Rights Officer and perform related functions
  • Understand lease and operate facility within contractual agreements with landlord (if applicable). Plan and oversee facility maintenance, renovations and space reorganizations.
  • Develop and maintain contracts and relationship with suitable vendors and service contractors to ensure consistent operational functioning of facility including security, climate control, repair, housekeeping, food service, information and office systems, etc.
  • Assist in the planning and implementation of client, family, community and employee special events
  • Supervise Administrative Specialist and Front Office Receptionist. Oversee all responsibilities and functions of these roles.
  • Perform special projects and other duties as assigned.


Education and Experience



  • Five years experience in child/adolescent mental health setting required.
  • Two years supervisory experience required.
  • Strong organizational, interpersonal skills and communication skills required.
  • Computer literate including Microsoft Office and Internet Explorer with the ability to learn new software applications.
