Accounts Payable Administrator

Purpose
The Accounts Payable Administrator ensures accurate and timely processing of vendor invoices, asset records, and financial transactions by managing invoice validation, data entry, and cost reconciliation. This role supports financial accuracy, vendor relationships, and operational efficiency through diligent review, reporting, and collaboration with internal departments.

Focus & Scope
Essential duties and responsibilities, i.e. those which are basic, necessary, and an integral part of the job, are indicated below:
  1. Set up and manage asset records, including issuing new assets and processing updates or changes to existing ones.
  2. Receive, review, and validate vendor invoices for accuracy, appropriate approvals, and proper account coding.
  3. Match invoices to corresponding purchase orders and work orders to ensure compliance and accuracy.
  4. Review equipment utilization data to validate invoiced amounts and identify discrepancies.
  5. Communicate with vendors to resolve payment inquiries, address discrepancies, and obtain missing documentation.
  6. Perform accurate and timely data entry for all accounts payable transactions.
  7. Investigate and resolve discrepancies related to equipment hours and cost allocations.
  8. Analyze monthly rental reports to prepare accurate accrual journal entries.
  9. Support month-end and year-end closing activities to ensure timely and accurate financial reporting.

Role Qualifications & Requirements

Education:
  • Associate's degree in Business, Finance, Accounting or related field, or an equivalent combination of training, education, and experience required.
  • Bachelor's degree in Accounting or related field preferred.

Experience and Industry Expertise:
  • At least three (3) years of administrative and accounts payable experience desired.
  • Experience in the fleet administration and/or the construction industry preferred.

Specific Job Requirements:
  • Successful completion of pre-employment drug, alcohol, and background investigation.
  • Current on all company required safety training.
  • Proficient with Microsoft Office Suite or related software.
  • Ability to preserve confidential and proprietary information and successfully avoid conflicts-of-interests.
  • Experience working effectively in teams, to establish and maintain cross-functional and positive working relationships.
  • Must be able prioritize and manage multiple assignments and recognize when to seek assistance.
  • Must be able clearly communicate and be understood both verbally and in written form by internal and external customers.

Equipment Used, Physical Demands, and Work Environment

Equipment Used:
  • General office equipment, computer, telephone, automobile, personal protective equipment (i.e. safety glasses, hearing protection) when visiting plants.
Physical Demands & Work Environment: The physical demands and work environment characteristics are representative of those that must be met by an employee to successfully perform the essential functions of this job.   • Physical: Sitting for long periods of time working on the computer or attending meetings. Job site visits require walking on uneven ground, steep slopes, and exposure to extreme temperature and/or humidity. Some lifting of materials and equipment up to 20 lbs.
  • Work Environment: Typical office environment with adequate temperatures and lighting, low levels of noise. Demands of meeting tight deadlines. Exposed to the conditions of job sites which can include loud noise, dust, fumes, and extreme weather conditions prevalent at the time. May work various hours, including early mornings, dusk or evenings.

HOURLY BASE SALARY RANGE:
$29.25/hr - $40.94/hr
The range displayed reflects the range the company reasonable expects to pay for the position. The actual base salary is subject to variation due to the role, level, geographic location, relevant education, training, or experience, among other factors.
