Position Summary

The UNM Department of Psychiatry and Behavioral Sciences,
Masters of Social Work (MSW) program is seeking a self-motivated individual to
join our dynamic multi-disciplinary team. The mission of the MSW Program is to
build more just and equitable communities through improving the quality of
behavioral health and social services for New Mexico and beyond; promoting best
practices and the most current research; listening to and valuing the knowledge
of individuals about themselves and their communities; and promoting service
provision that is humble, anti-oppressive, and informed.

The MSW Program is seeking an Administrative Assistant to
join their team. Duties include:

  • Serving as a central point of contact for program
    communications, including email, phone, and virtual meeting coordination
    (Zoom/Teams)
  • Providing administrative support to program faculty, staff,
    students, and external partners
  • Coordinating calendars, scheduling meetings, and managing
    logistics for program events and activities
  • Monitoring and tracking deadlines related to curriculum
    development, assessment, and reporting
  • Supporting the development and maintenance of databases
    for student tracking, field placements, and program evaluation
  • Supporting outreach and marketing efforts, including
    website updates, a quarterly program newsletter, and social media
  • Assisting with procurement, travel arrangements, and
    reconciliation of expenses using a UNM purchasing card
  • Maintaining organized records and ensuring compliance
    with university and accreditation protocols
  • Coordinate and document program meetings, including
    agendas, minutes, and follow-up actions
  • Supporting processes for invoices and continuing
    education as needed
  • Assisting with faculty and staff hiring processes,
    including scheduling interviews and preparing documentation
  • Assisting with the preparation and submission of
    accreditation materials and documentation in alignment with Council of Social
    Work Education (CSWE) standards as needed
  • Training and oversight of student workers or lower-level
    administrative staff as needed

Because the program is in development, the qualified
candidate should have: interest and skills in creating new structures and
systems, which will require being creative and a self-starter; strong
organizational skills, including ability to manage multiple priorities; and exceptional
communication and customer service skills.

This is a full-time, term, benefits eligible position.

Conditions of Employment
  • If this position is assigned to the Athletics Department, either administratively or functionally, compliance with all NCAA rules and regulations is required.

Minimum Qualifications

High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.



Preferred Qualifications
  • Experience with supporting academic programs, preferably
    in behavioral health or other health sciences
  • Experience with academic accreditation, university
    curricular processes, and compliance
    with the Family Educational Rights and Privacy Act (FERPA) and Health Insurance
    Portability and Accountability Act (HIPAA)
  • Proficiency in Microsoft Office Suite, Zoom, Teams, and Smartsheet
  • Proficiency with UNM systems such as Chrome River, Banner,
    and LoboMart
  • Experience holding a UNM purchasing card in good standing
