JOB BRIEF (PURPOSE)

  • Under the direction of the department Vice President, the person in this position is responsible for supervising the work performed by the Conversions or Systems Management groups. Qualified candidate is responsible for activities related to and not exclusive of loading loans, deconverting loans, ARM loan audit, audits of scheduled vs. actual loan balances, creating/updating ARM indices, processing ARM notices, performing system maintenance on loans that have been assumed, modified, etc. Candidate is also responsible for inspiring, developing, leading and participating in projects, driving development of action items and ensuring execution of project plans. The person in this position is responsible for acting in the most timely, efficient and responsible manner to protect the interest of the lender/investors pursuant to servicing their loans. The incumbent will work closely with all servicing functions, be responsible for ensuring alignment of projects to business strategy, and that effective communications and workflows are achieved. Position will collaborate and assist other Systems Management team functions and provide backup for System Liaison group and will comply with all regulatory, investor guidelines and internal policies/procedures.

ESSENTIAL JOB FUNCTIONS

  • Supervise the daily functions performed by Conversions or System Management department personnel. Plan and organize the workflow to achieve maximum productivity.
  • Assist the department Vice President with the tasks related to servicing acquisitions. Consult and follow-up with previous servicers to establish timely flow of information and documentation to insure an accurate transfer of servicing responsibilities and documentation.
  • Collaborate with the department Vice President in determining staffing needs and space plans. Interview applicants, make hiring recommendations, complete performance evaluations, and recommend staff promotions and salary increases.
  • Train staff members to ensure all procedures are implemented and followed appropriately.
  • Assist the department Vice President in establishing departmental goals to meet company objectives. Continuously evaluate departmental progress in the attainment of the goals. Prepare monthly progress and status reports for review with management.
  • Interact with other departments within the organization to facilitate timely resolution of real estate strategies, issues, and challenges.
  • Recommend and drive revisions to policies and procedures, and at Vice Presidents discretion, implement subsequent changes to incorporate them into the department workflow.
  • Review system-generated edits and supervise the correction of any errors necessary in order to maintain accuracy of all vital information for every new loan.
  • Perform quarterly audits of loan setup quality control to track and monitor performance measures of the department.
  • Lead special projects, as assigned.
  • Provide guidance with regards to system updates in regards to all loan transactions (i.e. assumptions, modifications, waiver, partial releases, etc.)
  • Oversee the input of loan data in the servicing system through a bulk upload utilizing the New Loan Setup Utility.
  • Perform quarterly quality control audits on the critical fields and daily functions performed for setting up new loans on the system. Track and monitor the performance and accuracy of the loan setup process.
  • Perform quarterly audits on audits performed on ARM loans in accordance with KBREC Procedures. Review all necessary system updates.
  • Perform quarterly audits on audits completed on scheduled vs. actual loan balances in accordance with KBREC Procedures. Review all necessary system updates.
  • Oversee the creation of new ARM indices and existing ARM indices as needed.
  • Interact with other departments within the company to facilitate the timely resolution of issues or challenges.
  • Work with individuals to gain consensus and momentum on projects. Work cooperatively with all levels within Key.
  • Monitor and measure projects to ensure that adherence to compliance requirements and critical risk areas are addressed. Continuously ensure that performance and risk standards are being appropriately managed and take corrective actions or make recommendations as needed.
  • Effectively liaison with other departments & management. Interact with other departments within the organization to facilitate timely resolution of real estate strategies, issues, and challenges.
  • Lead projects and be involved in projects lead by others as a contributing team member.
  • Perform data gathering and analyses when needed. Perform detailed analysis on assigned projects in support of established goals and objectives when appropriate.
  • Continuously drive process improvement focus to ensure effectiveness, efficiency and productivity. Identify and propose projects to enhance operating quality, efficiency and service delivery.
  • Provide periodic reports to management concerning project progress and risk impact.
  • Follow up on project completion to determine if project objectives were realized.
  • Ensure corporate and compliance requirements are met as needed, including internal & external audits.
  • Interact with other departments within the organization to facilitate timely resolution of real estate strategies, issues, and challenges.
  • Conduct necessary follow-up with the appropriate source, whether internal or external to obtain any missing documentation that may be necessary to complete the loan set up.
  • Oversee the administration of the borrower/investor website access, which involves monitoring incoming requests, following up with borrower/investor/account manager for any missing information, granting/denying access and troubleshooting access issues.

MARGINAL OR PERIPHERAL FUNCTIONS

  • Ensure all procedures are implemented and followed appropriately
  • Recommend revisions to policies and procedures, and at manager's discretion, incorporate subsequent changes into the department workflow
  • Assist department managers with special projects, as assigned

REQUIRED QUALIFICATIONS

  • Four-year college degree and/or 10 years commercial real estate servicing experience
  • Successful performance within no less than 4 different areas of LSAM or equivalent experience
  • A minimum 5 years of supervisory experience in commercial real estate servicing or equivalent experience
  • Overall knowledge of commercial underwriting
  • Knowledge of legal document review and interpretation
  • Demonstrated track record of successful project leadership and execution
  • Demonstrated ability to balance multiple, competing priorities
  • Strong analytical skills, including metrics, reporting and problem-solving
  • Excellent verbal, written and interpersonal communication skills and the ability to build productive working relationships at all levels of the organization
  • Ability to manage and prioritize multiple tasks in a fast-paced environment
  • Efficient in the use of word processing, spreadsheet, and email software, such as Microsoft Word, Excel and Outlook

PREFERRED QUALIFICATIONS

  • No less than 8 years' experience working with McCracken/Strategy loan servicing system
  • Background in real estate law, accounting/auditing, finance, commercial loan underwriting and/or loan servicing
