How will you make an impact?

We are seeking a skilled and experienced Receptionist to join our organization. As a Receptionist II, you will play a key role in managing front desk operations and providing exceptional customer service to clients, visitors, and staff. The ideal candidate should have a proven track record in receptionist roles, excellent communication skills, and the ability to handle a wide range of administrative tasks.

What will you do?

Front Desk Management



  • Serve as the first point of contact for all visitors, clients, and staff.
  • Answer and direct incoming calls in a professional and courteous manner.
  • Manage the reception area, ensuring a welcoming and organized environment.

    Visitor Coordination
  • Greet and assist visitors, providing information and directions as needed.
  • Coordinate visitor access and maintain visitor logs for security purposes.
  • Handle inquiries and requests from the public with professionalism and tact.



Administrative Support



  • Provide administrative support to various departments as needed.
  • Assist with data entry, document preparation, and other clerical tasks.
  • Manage and distribute incoming and outgoing mail and packages.



Appointment Scheduling



  • Schedule and coordinate appointments for executives and staff.
  • Maintain and update appointment calendars, ensuring accuracy and efficiency.
  • Send appointment reminders and handle changes or cancellations.



Communication Handling



  • Manage and prioritize emails, faxes, and other forms of communication.
  • Relay messages promptly and accurately to the appropriate parties.
  • Maintain confidentiality of sensitive information.



Office Equipment and Supplies



  • Monitor and maintain office equipment, such as printers and copiers.
  • Coordinate office supply orders and keep inventory levels sufficient.
  • Report any equipment malfunctions and arrange for repairs.



Visitor Experience Enhancement



  • Continuously seek ways to enhance the visitor experience.
  • Implement improvements to the reception area and related processes.
  • Gather feedback from visitors and staff for service improvement


Other duties as assigned.

How will you get here?



  • High School or GED equivalent required, college preferred.
  • Requires 2-4 years of related experience or an AA with 1 year of experience or a bachelor's degree with 0 years of experience.
  • Excellent communication and interpersonal skills.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong organizational and multitasking abilities.
  • Professional appearance and demeanor.
  • Ability to handle a high volume of tasks with attention to detail.
  • Customer service-oriented with a positive attitude.
  • Familiarity with office equipment and basic troubleshooting.
  • Ability to adapt to a dynamic and fast-paced work environment.
  • Strong problem-solving skills.
  • Flexibility to handle occasional after-hours responsibilities.
