The Facilities Manager is responsible for ensuring the smooth operation, maintenance, and safety of the AAAS headquarters - a 200k sf Class A office building with an annual operating budget exceeding $3m with tenant and conference center income. This role oversees the day-to-day management of the building's infrastructure by providing direction and oversight to the property management firm (currently Akridge) to ensure compliance with all relevant health and safety regulations. The position recommends building policy and best practices to ensure that all AAAS staff, tenants, and guests are pleased with facility services provided in the building.

What You'll Do



  • Manage the facilities team which includes 3 full-time Facilities assistants and an archivist.
  • Strong customer service skills to navigate day-to-day interaction with staff, tenants, guests, and entities renting AAAS' conference center space, contractors, and the property management company.
  • Develop work orders and track activities of the Property Management company - Akridge.
  • Maintain the floorplans for the building using CAD files or an equivalent system.
  • Oversight of contracts for postage, carrier, copier, vending machines, water cooler and related contractors that provide facility services to AAAS including the timely processing of invoices related to those outside contractors.
  • Identify, develop, and implement best practices for building management as well as health and safety compliance.
  • Oversight of building renovation projects including collaboration with contractors.
  • Conference room management and scheduling within the facility including contracting out the 2nd floor conference room space, managing conference room setup and coordinating any AV assistance with IT.
  • Move, arrange, and order office furniture and supplies for the building for staff and tenants of the AAAS workspace area.
  • Assist AAAS senior management with strategic planning related to facility space requirements and usage including potentially engaging new tenants or reconfiguring available workspaces.
  • Maintain and update safety records and documentation, including AAAS Emergency Response Plan.


Minimum Requirements



  • Five years of experience managing a building or similar large commercial space.
  • Knowledge of building systems, maintenance procedures and safety regulations.
  • Effective administrative and planning skills.
  • Being able to lift 50 lbs. and use tools to set up office furniture.
  • Knowledge of various applications (Microsoft Office, Adobe Suite, Auto Cad)
  • On-call for emergencies, and may involve occasional evening or weekend work for planned maintenance

  • This position is not eligible for telecommuting and may be required to be on site during closures, off-hours, and weekends.

The anticipated initial rate of compensation for this position is $70,000 - $80,000 per year. AAAS currently provides the following benefits for this position: paid vacation leave, paid sick leave, paid holidays, health insurance, flexible spending account, dental insurance, life insurance, vision insurance, retirement benefits, short- and long-term disability, each subject to the terms of the applicable program. Additional benefits may apply.
