Job Title: Signature Volunteer Programs Coordinator (Union) Status: Full-Time

Department: Volunteer Engagement Grade: 26

SUMMARY

This position will coordinate logistics and support project planning for all United Way volunteer signature events and key initiative-focused volunteer efforts. Special emphasis is given to effective volunteer and event management in addition to superior organization and customer service skills. This position manages all volunteer engagement data including the strategic plan and board dashboard metrics, among other data points as assigned. This role will work to deliver an unrivaled and exceptional volunteer experience from start to finish while positively impacting our community and United Way's strategic goals.

RESPONSIBILITIES

Include the following, but are not limited to:

VOLUNTEER AND COMMUNITY ENGAGEMENT

  • Manage all signature event email communications, including registration confirmations, reminders and thank you emails.
  • Support large-scale signature volunteer programs and events, including but not limited to: Backpack Coalition, Diaper Bank, Project Homeless Connect events, MLK Day of Service and Holiday Giving Tree in partnership with the Signature Volunteer Programs Manager.
  • Lead and oversee all Techquity laptop distribution volunteer events, including working in partnership with Community Impact and Facilities to ensure a smooth event and exceptional volunteer experience.
  • Support the implementation of new signature events and volunteer experiences in alignment with United Way's key initiatives.
  • Support the logistical needs of the Annual Holiday Giving Tree program, including the compilation and management of gift wish data/communications and purchasing, as needed.
  • Schedule all post event debrief sessions, analyze Volunteer Engagement Division post-volunteer experience data and facilitate cross-departmental discussion and information sharing to seek continued process and experience improvement.
  • Manage the preparation of signature event and custom project impact reports for key customers as needed.
  • Serve as the division lead in the collection and reporting of division metrics as selected by The Volunteer Engagement Committee and Vice President of Volunteer Engagement. Prepare dashboards and support strategic plan metrics reporting.
  • Ensure data needs are captured in ANDAR.
  • Support the auditing, content review and public sharing of Volunteers United and Stratus Live postings.
  • Other duties as assigned.



Expected Outcome: Project management and logistical support result in positive customer experience. Engaged volunteers successfully complete meaningful, mission-focused volunteer projects that expand their understanding of United Way's role in improving lives and the community. Data collection and management within Volunteer Engagement Division supports the reporting of strategic priority metrics and improves Volunteer Engagement customer management and communications.

COMMUNICATIONS

  • Increase United Way presence and brand-awareness among project participants and targeted audiences.
  • Manage efficient volunteer registration processes and pre-event/post-event communications.
  • Compose memos, emails, letters and select division correspondence as assigned and needed.
  • Become conversant about the United Way brand, philosophy, mission and background in order to convey and integrate brand messages consistently and appropriately in handling inquiries, questions and interactions with volunteers, vendors, agencies and the public.
  • Publicly present marketing information and key messages to key stakeholders as needed.



Expected Outcomes: Communications are accurate, efficient, professional, consistent and timely across all platforms. Marketing presentations and speaking engagements are professional with quality information that is relevant to the particular audience enabling them to have a greater understanding of United Way and the work done throughout the community.

PERFORMANCE STANDARDs: All United Way information is held confidential. There is no disclosure of any internal United Way strategic information or volunteer, vendor or donor information.

SUPERVISORY RESPONSIBILITIES

This job has no supervisory responsibilities.

EDUCATION & EXPERIENCE REQUIREMENTS

Bachelor's degree from a four-year college or university in marketing and/or communications, business, nonprofit management, etc. 2-3 years of directly related experience or equivalent combination. Intermediate experience using Microsoft Word, Excel, PowerPoint, Outlook, Internet.

Ability to write in a prescribed style and format. Demonstrated excellent verbal and written communication skills with attention to detail and accuracy. Good understanding of group dynamics and group facilitation skills. Ability to present information effectively to top management and public groups.

MATHEMATICAL SKILLS Ability to apply concepts such as fractions, percentages, ratios and proportions to practical situations.

REASONING ABILITY Ability to define problems, collect data, establish facts and draw valid conclusions. Ability to solve practical problems with a variety of variables in situation where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral or diagram form.

DRIVING REQUIREMENTS This job requires driving to attend meetings, make account calls, attend group volunteer events, and to deliver and pick up volunteer event supplies. Valid driver's license, personal vehicle insurance, and comfortability with driving company cargo vans.
