Summary

CAE USA Inc. is looking for a Legal Assistant Co-Op to support our in-house US legal organization: contracts, supply chain, legal operations, and trade compliance team supporting a variety of legal, administrative, ethics, and compliance matters for the U.S. Defense & Security Legal group.

Essential Duties and Responsibilities

  • Administrative Support: Responsible for small projects as directed and guided by management and senior colleagues by applying knowledge and experience from previous roles. Assist in preparation of quarterly newsletter communications, presentations, org charts, distribution lists, entity management, letter drafting, and other support, as needed
  • Data Analysis & Automation: Maintain and analyze data sets from internal and external sources accurately reporting/communicating analysis, process data both manually and via automated software, create frameworks to improve efficiency and consistency of data reviews
  • Internal Audit Support: Collaborate with internal stakeholders to demonstrate compliance and adherence to various internal policy and procedure standards
  • Risk Assessment: Comprehensive risk assessments to identify potential violations of policy based on data, and other supporting evidence
  • Legal Research & Support: Support regulatory compliance and monitoring through research and industry trends from credible sources, collect applicable documents for submission of legal applications
  • Policies and Procedures: Annually review legal policies to maintain current standards, suggest necessary policy updates, maintain policy library and other related tasks, as needed
  • May assist in the investigation of ethics cases, as needed
  • Work with cross-functional teams (Legal, Program Management, Finance, Engineering, Operations) to accomplish enterprise goals
  • Special projects and other assignments, as needed

Qualifications and Education Requirements

  • Must be enrolled in an accredited Bachelor's degree (or higher level) college/university program majoring in legal Studies, Paralegal Studies, Public Administration/Management, Criminal Justice, or related field, with junior or senior-level standing.
  • Must have a minimum GPA of 3.0
  • Experience working directly with sensitive and confidential issues
  • Proficient in Microsoft Excel
  • Data entry and analysis
  • Strong interpersonal skills and attention to detail
  • Strong organizational skills with the ability to multi-task and meet deadlines in a fast-paced environment
  • Due to U.S. Government contract requirements, only U.S. citizens are eligible for this role.

Preferred Skills

  • Experience providing project support
  • Experience in supporting ethics and/or compliance-based initiatives

Security Responsibilities

Must complywith all company security and data protection / usage policies and procedures. Personally responsible for proper marking and handling of all information and materials, in any form. Shall not divulge any information, or afford access, to other employees not having a need-to-know. Shall not divulge information outside company without management approval. All government and proprietary information will be accessed and stored electronically on company provided resources.

  • Incumbent must be eligible for DoD Personal Security Clearance.

Due to U.S. Government contract requirements, only U.S. citizens are eligible for this role.

Work Environment

  • Normal degree of physical effort in typical office environment with comfortable, constant temperatures and absence of objectionable elements
  • May be subject to interruptions
  • Must be able to have flexible work schedule when workflow requires
  • Must meet established attendance and punctuality guidelines
