The Administrative Support Professional II provides operational and administrative support to the Chief Audit Executive and Internal Audit and Privacy Office operations. The position plans, organizes and executes various operational activities in areas such as executive and administrative support, financial, human resources, and facility operations, records management, communications, and department website maintenance.

Duties & Responsibilities

Administrative Support:

  • Provides administrative support to the Chief Audit Executive including complex calendar management, preparation of reports and documents, dashboard reporting, coordination of high level meetings, presentation support, and proactive communication with internal and external stakeholders.
  • Supports scheduling and coordination needs for Audit team members, ensuring alignment with leadership priorities.

Financial, Human Resources, and Facility Operations:

  • Works collaboratively with administrative staff in Business Affairs to ensure effective coordination of Division administrative priorities.
  • Serves as the department's purchasing card holder and lead travel delegate, coordinating office purchases, travel arrangements, and potential reimbursements.
  • Initiates and monitors purchase requisitions, purchase orders, contracts, and other procurement documentation; performs monthly reconciliation of budget reports and financial records.
  • Coordinates recruitment, on-boarding and off-boarding of office personnel.
  • Coordinates the maintenance and security of physical office space.

Communications and Website Maintenance:

  • Maintains and updates content for the Internal Audit and Privacy Office websites in collaboration with University Internal Communications and the Office of the CFO.
  • Partners with the Privacy Office to track, coordinate, and respond to inquiries and requests related to privacy matters.

Records Management:

  • Works collaboratively with the Internal Audit and Privacy offices to organize and maintain physical and electronic records consistent with professional standards and university record retention policies and procedures.
  • Other duties as assigned by the Chief Audit Executive to fulfill the mission and goals of the Internal Audit and the Privacy offices.

Knowledge, Skills and Abilities:

  • Strong organizational and time management skills, with the ability to manage complex calendars and competing priorities.
  • Excellent written and verbal communication skills for professional engagement with internal and external stakeholders.
  • Proficiency in Microsoft Office Suite and other tools used for reporting, presentations, and virtual collaboration.
  • Ability to maintain confidentiality and exercise sound judgment when handling sensitive information.
  • Ability to work independently, prioritize tasks, and meet deadlines with accuracy.
  • Strong attention to detail and ability to reconcile financial records and prepare accurate reports.
  • Ability to collaborate effectively across departments to support division-wide administrative needs.
Minimum Qualifications
  • Bachelor's degree or equivalent advanced learning attained through professional level experience required.
  • Minimum of 3 years of relevant work experience, or equivalent combination of education and work experience.

As a campus with residential housing facilities, the Main Campus ASR also includes a combined Annual Fire Safety report with information on fire statistics and fire safety systems, policies, and procedures.
