Job Description

The Office Support Associate provides high-level administrative, financial, and event coordination support for Mizzou Libraries. This role performs a variety of independent, specialized office support duties, ensuring the smooth execution of fiscal operations, donor relations, and executive support. The ideal candidate is a proactive problem-solver who thrives in a collaborative environment and is committed to excellence in service and organization.

Key Job Duties:
Donor and Financial Operations:

  • Manage donor correspondence using MU's CRM system.
  • Verify proper allocation and use of gifts; reconcile daily advancement reports with PeopleSoft transaction checklists.
  • Prepare and analyze financial reports, identifying key issues and trends.

Event Coordination:

  • Serve as the Events Team coordinator for Mizzou Libraries.
  • Plan and execute events such as Library Society and Friends fundraisers, all-staff meetings, Celebration of Service, candidate interviews, and outreach activities.

Executive Support:

  • Provide executive-level support to the Director for Advancement and Associate University Librarians.
  • Manage calendars, draft correspondence, arrange travel, prepare agendas and minutes, and support special projects.
  • Serve as backup to the Executive Assistant.

Administrative and Financial Services:

  • Track travel budgets, manage purchasing needs, process contracts, and coordinate logistics for special events.
  • Support library service billing, purchasing, and supply/equipment ordering.

General Office Support:

  • Handle various administrative tasks such as posting flyers, sending holiday cards, and ordering name badges, name plates, and business cards for new staff.
Shift

40 hours per week, primarily 8am-5pm Mon-Fri, with occasional evening and/or weekend hours for special events.

Minimum Qualifications

A Bachelor's degree or an equivalent combination of education and experience and at least 2 years of experience from which comparable knowledge and skills can be acquired is necessary.

Preferred Qualifications

  • Experience with event planning.
  • Experience working in a philanthropic or advancement setting.
  • Enthusiasm for working with people and building relationships.
  • Strong written and oral communication skills.
  • Excellent organizational and time management abilities.
  • Proficiency in processes, procedures, and systems needed for an office setting, such as PeopleSoft, CRM, and Microsoft Office Suite.
Anticipated Hiring Range

Salary Range: $18.87 to $24.50 per hour

Grade: GGS-008
