The Medical Education Office within the UW School of Medicine & Public Health (UW SMPH) Office of Academic Affairs is looking for an Academic Program Specialist to support a hard-working team of faculty and staff providing academic and administrative expertise for the MD program. This position is responsible for providing critical program support that includes developing and implementing systems and processes of administrative support across the three phases of the medical curriculum, collating and/or maintaining accurate curricular and student data across platforms and organizing and assisting with various events and activities. The Academic Program Specialist will work collaboratively with an engaged team of educational coordinators, program and administrative directors, faculty leadership and students. This position must establish and maintain effective working relationships within the Medical Education Office, across the broader School and University, and with external partners, therefore, highly effective interpersonal and communication skills and the ability to demonstrate effective and professional problem-solving are essential qualities for success.

Primary tasks include:

Program support


  • Collaborate with educational coordinators on the development and implementation of various phase activities.
  • Oversee program components such as collecting, collating, formatting, tracking, archiving, and uploading materials, setting up and distributing surveys, and communicating with faculty, staff and students about requirements and deadlines.
  • Participate in various evaluation processes to promote improvements in workflows.
  • Manage classroom and teaching space needs within the Health Sciences Learning Center.
  • Provide academic program support to additional programs as needed.

Student Worker supervision


  • Hire, onboard, and train student workers.
  • Supervise student workers and direct their daily work.
  • Develop systems and materials that can facilitate easy transitions between student workers.

Fiscal Administration


  • Assist in arranging travel and reimbursement for staff and faculty.
  • Oversee Medical Education Office fiscal transactions, including holding a department purchasing card.

This position may require some work to be performed in-person, onsite, at a designated campus work location. Some work may be performed remotely, at an offsite, non-campus work location.

Key Job Responsibilities:
  • Identifies program, needs, contributes to the development of unit workflows, schedules logistics and secures resources for meetings, events, and interviews
  • May supervise the day to day activities of one or more academic programs and resolves issues exercising discretion to meet unit goals.
  • Utilizes independent judgement regarding development, implementation, promotion, and evaluation for one or more academic programs, initiatives, or events
  • Coordinates program components and evaluates program effectiveness and provides recommendations for improvement

Compensation:

The starting salary for the position is $54,000, but is negotiable based on experience and qualifications.

Required Qualifications:

  • 1+ years of administrative experience in higher educational or clinical settings
  • Demonstrated experience in managing complex logistics, effective communication, and working within a team
  • Demonstrated outstanding organizational and time management skills and the ability to meet deadlines
  • Demonstrated experience with word processing and spreadsheet software

Preferred Qualifications:

  • Three years of administrative experience in higher educational or clinical settings
  • Experience with educational program administration platforms and learning management systems
  • Experience managing large datasets

Education:

Bachelor's degree preferred minimum
