Job Description
PRIMARY FUNCTION: The Training Coordinator ensures overall organization and compliance of CRS, Intermediate Care Facilities (ICF), and Residential Day Program staff training scheduling and tracking, completion of initial medication practicums and annual Medication Administration Reviews as mandated by regulations for all CRS staff, fire safety trainings, on the road trainings, and coordinating trainings of staff. The Training Coordinator works closely with Credentialing, Staff Development, and Operations teams in ensuring training compliance of all direct care staff. DUTIES AND RESPONSIBILITIES
- Supports the Operations Managers to ensure the completion of all required trainings of CRS and Residential Day Program direct care staff by organizing, assigning, and communicating schedules and documentation maintenance in Elwyn's Learning Management System (eLMS) through tasks including but not limited to registering participants, updating training completion status, and entering classes as needed to ensure compliance with applicable regulations
- Maintains compliance with all appropriate staff training files with tasks including but not limited to maintaining training grids, filing training documentation when needed, and requesting missing documentation as needed to ensure program compliance with all applicable licensure, certification, and other standards
- Runs reports for program leadership and licensure purposes including but not limited to Key Performance Indicators (KPI) monthly compliance reports, 90-day training compliance list, individual staff training compliance reports as requested by auditors, and any other adhoc training reports as needed
- Ensures corrective action implementation in follow up for incident management by coordinating employee attendance at training, scheduling training and scheduling trainer and/or providing the training to ensure training requirements are met
- Supports the leadership teams by coordinating the provision of staff training, including but not limited to, Medication Administration Practicums, Medication Administration Record reviews, On the Road training, and any other similarly required training, and act as a training resource as needed to ensure staff complete required trainings
- Attends licensing surveys and monitoring visits from licensing bureau to pull employee training records and act as a liaison between the licensing bureau and Elwyn and gives input on any Plans of Correction (POC) developed by operations to address training deficiencies found
- Coordinates with Learning and Staff Development Department through activities including but not limited to assisting with development of training plans and coordinating class schedules to ensure the class schedules meet the needs of the training requirements for the quantity of classes needed to accommodate all training needs/requirements to ensure that staff receive all annual and ad hoc training required under regulation to maintain the fidelity of program delivery and the health and safety of individuals receiving services
- Supplies compliance status to leadership team and Human Resources to issue staff counseling/disciplinary actions as appropriate and needed when staff compliance to training and retraining requirements are not being met within timelines by supplying needed documentation to leadership and training compliance status to leadership
- Regularly solicits and encourages feedback from staff through emails and conversation about training schedules and notification system and utilizes feedback in coordination with operational leadership to improve services related to training scheduling and coordination to ensure training compliance
- Attends meetings, virtually and at program sites, to provide training and training information to staff and conducts onsite reviews of training records to monitor/audit CRS and Residential Day Program records to ensure program compliance with regulations
- Provides CPR, AED, First Aid, Crisis Intervention as needed in accordance with agency trained protocols
- Performs other duties as assigned
IMMEDIATE SUPERVISOR: Senior Director, Community Residential Services with a dotted line to the Senior Director, Adult Day Services DIRECT REPORTS: None CONTACTS: Individual supported, families, providers, representatives of licensing bodies, Elwyn employees EDUCATION/EXPERIENCE:
- High school diploma or equivalent with three (3) years of staff development/training experience and/or supervisory experience; bachelor's degree in human services or related field preferred
- Two (2) years' experience in human services
- Previous experience working within a unionized workforce preferred
- Non-profit human service experience highly preferred
- Demonstrated ability to work effectively as part of a team
- Ability to work in a fast-paced environment and manage and prioritize multiple, often competing, priorities
- Demonstrated strong attention to detail
- Demonstrated strong time management and organizational skills
- Demonstrated excellent judgment with the ability to independently solve problems and make decisions with little or no need for direct supervision
- Demonstrated ability to anticipate future needed changes or identify problem areas and take effective actions
- Must be able to perform CPR and crisis intervention using agency-trained protocols
- Must possess excellent customer interaction, collaboration, presentation, and written and verbal communication skills
- Demonstrated intermediate experience with Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint; previous experience with learning management system platforms preferred
- Experience using/knowledge of Electronic Health Record (EHR) / Electronic Medical Record (EMR) preferred
- Ability to effectively collaborate with the individuals Elwyn serves, their families, staff, and all other stakeholders
- Ability to request, accept and utilize feedback and training appropriately
- Ability to provide effective feedback, train, and delegate job assignments
- Ability to assess and appropriately and timely address job performance
- Ability to pass and maintain State-wide Medication Administration Train the Trainer curriculum
- Ability to pass and maintain Fire Safety trainer status
- Must have current, valid driver's license in state of residence, three (3) years driving experience in the United States, and acceptable driving record
