Job Description

The Maintenance Coordinator is responsible for managing work orders and purchase orders, coordinating maintenance requests, overseeing repair projects, and handling invoicing and vendor communications. This role ensures that maintenance activities are completed efficiently and effectively, maintaining high standards of service for residents.

Hybrid Schedule: Work from home: Monday and Friday. In office (Katy, TX): Tuesday, Wednesday, Thursday.

Essential Duties and Responsibilities:

  • Coordinate with residents and vendors to schedule and complete all maintenance and repair requests efficiently.
  • Submit and update Works Orders to vendors according to standard workflows, ensuring a seamless and documented process.
  • Oversee all maintenance and repair projects on occupied homes from initiation to completion, ensuring quality control.
  • Maintain daily records and monitor maintenance status to proactively manage the workload and pipeline.
  • Communicate proactively with residents and vendors through to the completion of all work to manage expectations.
  • Strategically manage and maintain an acceptable level of open work orders within your market.
  • Negotiate bids to reduce costs while maintaining quality
  • Review and approve all invoices submitted within established approval levels for financial accuracy.
  • Manage vendor relations and performance with our Vendor Specialists to ensure customer satisfaction

Qualifications:

  • Excellent written and verbal communication abilities

  • Strong typing skills

  • Proven ability to multi-task

  • Problem-solving experience is a plus

Minimum Requirements:

  • High school diploma or GED

  • Prior customer service experience

  • Excellent attention to detail

Preferred Attributes:

  • Knowledge of Yardi

  • Prior Maintenance experience preferred
