Description

Balfour Beatty Construction is seeking an Administrative Assistant to support our Human Resources & Finance departments. This individual is responsible for performing a variety of administrative, transactional, and coordination tasks that ensure smooth and efficient operations across both teams. This position requires a high degree of confidentiality, attention to detail, and the ability to prioritize in a fast-paced environment.

Essential Functions



  • Assist with onboarding and offboarding processes, including new hire paperwork, background checks, and I-9 documentation.
  • Maintain employee records and ensure compliance with documentation requirements.
  • Support benefits enrollment and respond to employee questions regarding benefits or HR policies.
  • Perform customer service functions by answering employee requests and questions.
  • Provide administrative support for HR initiatives and projects.
  • Assist with management of divisional time reporting requirements.
  • Support the Finance team with general accounting tasks (i.e. - processing invoices for payment, expense coding, management of outstanding employee expenses / Purchase card expenses).
  • General support of the Finance team, as needed, with month-end close activities (i.e. - preparing journal entries, coordination on Corporate / external audit requests).
  • Assist with various ad hoc projects within finance and human resources.


Requirements



  • 3+ years of experience in an administrative or support role within a professional business environment.
  • Exceptional attention to detail and organizational skills.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office Suite (Excel, Word, Outlook, Teams) and other business software.
  • Strong customer service philosophy and team-based approach.
  • Demonstrated ability to handle confidential information with the highest level of professionalism.
  • Proactive at problem solving and the ability to work across teams.
  • Ability to take initiative and follow-through on tasks to completion.
  • Strong recordkeeping and documentation skills.
