Administrative Support Specialist

Operations Support Team

This is a 3 year, full-time (40 hours/week), on-site contract role located in Indiana.


Summary

We're seeking an Administrative Support Specialist to provide day-to-day operational and clerical support to technicians and supervisors in a Fleet Garage environment. This role ensures smooth daily operations through accurate expense reporting, time entry, work order management, and coordination of business processes.


Our Ideal Candidate


  • 5+ years of administrative or operational support experience



  • Strong attention to detail with experience in expense reporting, invoicing, time entry, and work order management



  • Skilled in Microsoft Word, Excel, PowerPoint, and other business applications



  • Familiar with licensing requirements and storm support processes



  • Experience supporting garage, fleet, or parts operations highly desirable



  • Proficient in tools such as Power Automate, Maximo, CAPs, MyTime, and expense management systems



  • Flexible and able to back up other regional work management specialists during absences or vacancies



  • Strong organizational, communication, and prioritization skills



Job Description

In this role, you will support the Fleet Garage team by:




  • Managing expense reporting, invoices, and charge guidelines



  • Maintaining time entry systems and ensuring accuracy



  • Coordinating licensing documentation and compliance needs



  • Assisting with storm support processes when needed



  • Handling work order management and updates in support of fleet operations



  • Preparing correspondence, reports, and presentations using Microsoft Office tools



  • Receiving and directing calls, visitors, mail, and email



  • Arranging business travel, coordinating meetings, and tracking expenses



You will also serve as a backup to other regional work management specialists to ensure continuity of operations.


Education and Experience


  • Bachelor's degree or equivalent work experience preferred



  • 5+ years of administrative or clerical support experience



  • Background in operations support, fleet/garage environments, or expense management strongly preferred



Additional Requirements


  • This opportunity is on-site in Noblesville, Indiana and requires full-time presence



  • The pay for this W-2 position ranges from $22.21 - $22.98 per hour



  • This position may be eligible for benefits such as PTO, health insurance, and 401(k) depending on tenure and hours worked
