Position Description

Your Opportunity:

Techsource is looking for a full-time executive administrative professional to provide on-site support to the Department of Energy (DOE)/National Nuclear Security Administration (NNSA) Office of Defense Programs (NA-10). You will provide business management support to senior executive staff. You will manage daily operations in a dynamic and highly engaging team setting, provide administrative and logistical support, and participate in various weekly and biweekly meetings.

You will work onsite daily at the DOE Headquarters Forrestal Building, located in Washington, DC. After training, a hybrid schedule of up to 2 days telework per week might be allowed, dependent on workload and customer approval.

What You Will Do:


  • Provide business management support to the Defense Programs Front Office.
  • Manage classified conference room reservations for Defense Programs to include opening/securing rooms, deconflicting and prioritizing meetings, and ensuring rooms are clean and properly configured for participants.
  • Attend, participate, and provide minutes for staff/leadership meetings as needed.
  • Assist scheduling meetings, conferences, and setting up teleconferences, videoconferences, and seminars.
  • Assist staff with corporate business systems, such as the Foreign Travel Management System, Concur travel, Learning Nucleus, eDocs, and SharePoint.
  • Work in a team and network of professionals to ensure cohesion and alignment throughout the larger organization.
  • Prepare new employee materials to include welcome packages and completion of required paperwork for incoming, outgoing, and transferring front office personnel.
  • Coordinate logistical requests.
  • Support proper electronic file organization and records retention, in alignment with the Defense Programs' Records Management Standard Operating Procedures.
  • Manage visit access procedures and requirements, including greeting visitors.
  • Communicate and interact with diverse teams of people across a large national security organization.
  • Provide backup in managing executive schedules in a dynamic environment, including multiple sequential meetings in both classified and unclassified settings.
  • Provide backup in managing logistics for executive travel to the White House, Pentagon, Congress, and other locations in the National Capital Region.

What You Will Need:


  • Active DOE Q or DoD Top Secret security clearance.
  • 5 or more years of professional experience in a similar role, demonstrated clearly on your resume.
  • Discretion and professionalism in a highly visible and demanding environment.
  • Proven record working in a team of administrative professionals and with personnel at various levels of seniority.
  • Excellent interpersonal, verbal, and written communication skills.
  • Keen organizational, detail-orientation, and administrative skills.
