The Lead Health Information Specialist is responsible for securing, organizing, and managing health information data, ensuring the highest quality of accuracy, accessibility and security is maintained at all times. This role utilizes various classification systems to code and categorize patient information for databases and registries and maintains the patient's electronic health record in a manner consistent with all applicable medical, administrative, ethical, legal, and regulatory requirements. The role provides direct support to the Health Information Manager in overseeing the daily productivity, efficiency, and effectiveness of operations within the department. - Protect the security of medical records to ensure that confidentiality is maintained through HIM best practice processes and HIPAA-compliant EHR security configurations.
- Release information to persons and agencies according to regulatory requirements and best practices.
- Process and prepare business and government forms, including but not limited to subpoenas, medical determination forms, legal court documents, etc.
- Respond to HIM service requests, emails, faxes, and phone calls appropriately and timely manner. Prepare HIM reports, narrative reports, and graphic presentations of information on SLAs and HIM metrics.
- Assist in project data collection, analysis, and reports. Ensure all referral requests and follow-up care are kept up-to-date and current in status
- Make assignments for referrals and release of information; Assist the HIM Manager with oversight of referrals and release of information processes.
- Assist in recording activities related to ROIs and referrals, track and report on outstanding referrals or requests to the HIM manager, Informatics Director, and clinical staff; manage and maintain referral specialist list
- Acts as lead contact for troubleshooting patient or provider inquiries or concerns to keep management informed of problem areas or barriers to compliance.
- Recommend process changes to increase efficiency and reduce waste during processes related to department operations to the HIM Manager and clinical staff as applicable.
- Coordinates and manages patient referrals to specialists and other healthcare providers; responsible for the timely, accurate review of requests/orders. Confirms providers' participation status with the patient's insurance plan/network; determines payer referral and authorization requirements for services.
- Assist the HIM Manager with oversight of productivity and performance metrics through the use of reporting, dashboards, concurrent review, and quality assurance activities.
- Assist the HIM Manager with daily assignment of duties related to release of information requests, service desk tickets, and other department tasks as assigned.
- Act in the HIM Manager's stead as needed, in all department and company meetings. Responsible for drafting agendas and meeting minutes for all department meetings.
- Answering the department phone line to assist patients, requesters, and other departments
- Evaluating information to determine compliance with standards - using relevant information and individual judgement to determine whether events or processes comply with laws, regulations and standards.
- Communicating with people outside the organization, representing the organization to customers, the public, government, and other external sources. This information can be exchanged in person, in writing, or by telephone and electronic means; Developing constructive and cooperative relationships with others
- Manage special projects and process improvement initiatives as assigned

Qualifications
- Minimum of a High School diploma or equivalent; Associate degree Preferred.
- NextGen experience required; NCP certification preferred.
- Minimum 2 years previous HIM Experience required; previous leadership experience strongly preferred
- Strong organizational skills, careful attention to detail, and knowledge of HIM workflow/processes and data collection
- Strong PC skills and experience with health information systems
- Excellent written/oral communications with professionals at all levels both internal and external to the organization
- Proficient in medical terminology, paper and electronic filing systems, scanning processes, and release of information processes
- Ability to thrive in a fast-paced environment/department, flexible, adapting readily to changes and transitions, with excellent time management skills
- Must pass background check, TB test and other pre-employment screening
