Job Summary:

This position is truly the face of DSHA, serving to meet the needs of prospective families as they enter into the admissions process, and is often the first point of contact that prospective families have with the school. Because of this, excellent communications skills and customer service are of the utmost importance. This position coordinates application tracking and assists families with the process; administers the Milwaukee Parental Choice Program including the tracking and seeking of relevant information; and maintains the database for prospective families. This position also helps create, coordinate, and execute communications, marketing, and events-based efforts for admissions and marketing within the DSHA Advancement Department.

Compensation:

Approximately $19-$26/hour based on experience, plus a competitive benefits package, including but not limited to health, dental and vision insurance, tuition discount, education reimbursement, generous paid time off package, 403(b) retirement plan match, etc.

Essential Duties and Responsibilities Include the Following:

  • Maintains positive and proactive written and oral communications with excellent customer service with all prospective families, visitors, parents, and students; replying to phone and emails within a 24-hour period; and actively and intentionally meeting the needs of prospective families.
  • Represents DSHA to prospective families - both parents and students - at DSHA events, which includes giving family tours, leading campus grade school visits, hosting 8th and 7th grade visit days and application workshops and proactively engaging with parents and students at Open Houses, Girls Nights In, Future Dasher Nights, and all other recruitment-focused events.
  • Maintains relationships with key staff members at partner feeder grade schools, to ensure a smooth application and admissions process.
  • Maintains the Divine Savior Holy Angels (DSHA) High School recruitment database that tracks prospective students and families; updates contact information and other information as necessary, following the standards set by the Director of Data Services. Records data and produces and distributes reports as needed for recruitment events. Stays up to date on database training and communicates regularly with Blackbaud as needed regarding database needs.
  • Coordinates the schedules for grade school visits and 8th and 7th grade visit days; assists the Director of Admissions & Financial Aid with the coordination of recruitment-focused events.
  • Processes and tracks:
    • Admissions applications for review; updates each applicant's online record and obtains necessary records needed for committee review.
    • Milwaukee Parental Choice applications.
    • Historical enrollment information as it pertains to DSHA's recruitment efforts.
  • Manages the DSHA Spirit Store including item ideation, inventory tracking, giveaways, grade school donations, and revenue processing with the DSHA Business Office. Works with members of the Advancement Dept. to assist with ordering promotional giveaways as needed.
  • Tracks and fulfills sponsorships and item donations for all grade school events and grade school media requests.
  • Coordinates, writes and executes weekly marketing and recruitment eblasts with recruitment-focused messaging.
  • Works directly with the Director of Graphic Design to create recruitment postcards and graphics for grade school media placements, event postcards, and other digital and direct mail pieces as needed.
  • Works alongside the Director of Admissions & Financial Aid and Digital Marketing Director to maintain up-to-date information on the DSHA Admissions portions of the school website and assists with other website and social media updates as needed.
  • Works alongside the Director of Admissions & Financial Aid and the VP of Marketing & Communications to create social media plans for recruitment and admissions events/celebrations, creates content for these social media plans, and works alongside the Marketing and Communications Associate to share content.
  • Creates event registration forms and tracks registration for all recruitment-focused events.
  • Manages the DSHA Student Recruiters program, ensuring current students are properly trained, engaged, and fulfilling assigned duties throughout the year for various events and opportunities.
  • Prepares and assembles materials for recruitment-focused mailings. Tracks purchase orders, invoices and check requests for admissions and marketing related items.
  • Assists with events planned by the Advancement Office.
  • Covers the main office as necessary to assist with vacations and sick time.
  • Completes other duties as assigned.

Qualifications:

Education and/or Experience:

Position requires a minimum of an associate's degree, bachelor's degree strongly preferred, in communications, marketing, non-profit management, or relevant area of study, and 1-3 years of experience in customer service. Ideal candidate will have 1-3 years' experience with the DSHA community to represent accurately the all-girls, Catholic, college-prep environment to the prospective family audience.

Knowledge, Skills and Abilities:

As the first point of contact with visitors, it is critical that the individual believe in, support, and effectively articulate DSHA's mission, while maintaining a positive and helpful demeanor to anyone who calls or visits. Effective oral and written communication skills are required with the ability to communicate for a particular audience. Excellent customer service and phone demeanor are required. Critical thinking and problem-solving skills are required, along with the ability to understand and follow specific instructions and procedures are required. Must be able to maintain confidential data appropriately. The ability to stay focused in an area with frequent interruptions is required. Word processing and data entry skills are necessary. PC experience and knowledge of MS Office is required, as is comfort utilizing database software. Must be able to track data and generate reports as requested. Ability to maintain calendars and schedule appointments is required. The ability to prioritize duties and to deal with diverse groups is required. Must have valid driver's license and access to a reliable vehicle.

Physical Demands:

While performing the duties of this job, the employee is frequently required to stand; talk or hear; and use hands to finger, handle, or touch objects or controls. The employee is frequently required to stand and walk. On occasion the incumbent may be required to stoop, bend or reach above the shoulders.

The employee must occasionally lift to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.

Work Environment:

The work takes place in primarily an office/school environment. There is occasional travel.
