ABOUT THE ROLE:

The Program Coordinator coordinatesadministrative duties and responsibilities to supportprogram operations.This position operates very independently, directly influences the content and quality of the work and works directly with external groups and individuals. The Program Coordinator takes on organization-wide coordinating responsibilities that affect the flow of work to and from others and functions across program lines.

The Program Coordinator will also be a collaborator between the team, foundation sponsors, and other NCSL programs. Key tasks include impeccable office management, financial administration, and support for in-person and virtual meetings. The Program Coordinator must have excellent written and oral communication skills to interact with a wide variety of audiences, inside and outside the organization.

WHAT YOU'LL DO:



  • Develops plan to arrange and coordinate all administrative and logistical details for special events, at the NCSL Legislative Summit and other national conferences as needed; act as liaison, manage on-site logistics, organize and prepare information for events and other event-related materials.
  • Provides program support and administrative assistance to the director of development, director of sales, and the chief development officer.
  • Works with the Foundation team, NCSL communications team, and meetings team to plan the biannual Foundation board meetings, record minutes and development of meeting materials.
  • Provides general support to the Foundation staff to maintain the sponsorship base of the organization; create sponsor invoices and manage sponsor correspondence.
  • Independently handles the collecting, monitoring and assembling of the end year revenue data.
  • Acts as principal liaison between Foundation staff and conference-wide support staff and NCSL building services.
  • Develop, establish, maintain, and manage Foundation websites and constituent management system.
  • Provides program support for the NCSL Foundation newsletter and NCSL Today Sponsor Spotlight submissions.
  • Perform other duties as assigned.

Supervisor/Management Responsibilities:

This position has no direct supervisory responsibilities. May have an opportunity to assist interns with assigned projects.

THE WORK ENVIRONMENT: This full-time position is mostly performed in an office environment, on or off-site, with prolonged periods of sitting at a desk and working on a computer.NCSL provides a unique hybrid remote work policy with the requirement that staff travel on their own fare to the NCSL office once a month for team meetings and professional development. Employees routinely use standard office equipment such as laptops, printers, scanners, copy machines, and smartphones. Occasional travel by airplane, including overnights and weekends, is required. Reasonable accommodations may be made to enable individuals with disabilities to perform essential functions.


Qualifications

QUALIFICATIONS FOR SUCCESS:

Minimum Qualifications:



  • High school diploma (or its equivalent) plusfiveyears of progressively more complex administrative experience.Business and/or administrative school training preferred.


  • Proficiency in clerical duties, including Microsoft Office and other software programs.


  • Ability to communicate effectively in writing or orally and to deal discreetly and maturely with sensitive information.


  • Superiorcustomer service and organizational skills withstrongattention to detail.


  • Experienceworkingbothindependentlyandcollaborativelyas circumstances dictate.


  • Proficiency withsimultaneouslymanagingmultiple tasks and deadlines.

  • Expertise and proficiency to handle administrative, technical and professional duties assigned. Required proficiency in website management, word processing, database management, desktop publishing, spreadsheets, etc.


  • Expertise and proficiency in coordinating the work of others under pressure.


  • Ability to travel by air up to fivetimes per year.
