What this job involves

The Move Project Coordinator is an on-site role responsible for various processes related to move and space projects, space resets, customer satisfaction, as well as transparency and reconciliation of costs associated with all space related activities. Responsibilities for this role include, but are not limited to, planning, implementation, and delivery of space related projects across various buildings.

Space Project Activities

Project Planning

  • Gather details needed for project initiation and coordinate kick-off meetings with proper teams

  • Review space change requests as a team to ensure the best utilization of available space

  • Review and assess feasibility for private room requests to provide users dedicated office spaces throughout the campus

  • Conduct site visits with stakeholders to grasp full understanding of client request

  • Populate and maintain project charters and adhere to project timelines in order to meet project deliverables

Project Execution

  • Maintain, update, and distribute accurate status updates to the project schedule and provide regular reporting stakeholders on project progress

  • Act as liaison between facilities teams and the vendors, communicating any change requests to stakeholders

  • Prepare, maintain, and distribute communications related to recurring project requests, schedules, and progress

Move Project activities

  • Create and maintain resources related to stakeholder engagements

  • Maintain high touch service during move planning through move execution

  • Data scrumming and reconciliation with an attention to detail to ensure accuracy of related move lists

  • Schedule movers and corresponding freight access points

  • On site for all vendors and customers during move

Post Move Follow Up and Close Out

  • Organize and complete any post move adjustments with vendor

  • Provide welcome communications with information on new location and site services

  • Troubleshoot all lost or misplaced items.

  • Schedule and coordinate vendor for any post move related items

  • Following projects and incremental moves, update seat assignment for accurate reporting

  • Provide move project close out to various stakeholders and managers

Data Management Activities

  • Manage booking access requests and corresponding updates

  • Process room requests and providing recommendations to stakeholders

  • Coordinate space related audits with various stakeholder groups

Customer Experience Activities

  • Manage all new hire onboarding information - reach out to admins/managers
  • Update project matrix, fill in customer information, technical requirements
  • Following projects and incremental moves, update seat assignment for accurate reporting
  • Provide move project close out to various stakeholders and managers

Daily Operations

  • Process work orders in accordance to KPI's

  • Complete data processing for any seat assignment changes

  • Organizing freight access for move vendor

  • Managing furniture vendors and furniture repairs

  • Implementing space related audits and providing accurate reporting

  • Update project matrix, fill in customer information, technical requirements

  • Communicate with client on upcoming projects and impact on business

  • Bachelor's degree preferably in Construction Management, Engineering, Architecture, or Business Management

  • 1- 2 years experience in a fast paced high functioning environment

  • Strong analytical, organizational, and presentation skills

  • Proficiency in word processing, database management, and email softwares

  • Detail oriented and able to multitask and prioritize tasks

Estimated compensation for this position:

58,600.00 - 84,900.00 USD per year

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
