What this job involves:

As a Project Operations Support professional at JLL, you will join our dynamic Account Operations team in a critical support function that combines the responsibilities of an experienced Associate Project Manager with operational excellence focus. This role centers on project lifecycle management, financial tracking, and vendor coordination while working closely with Project Managers and Finance teams to ensure seamless project execution and administrative support. You'll serve as a key liaison between multiple stakeholders while maintaining the highest standards of operational efficiency and data integrity across all project management systems.

What your day-to-day will look like:
  • Partner with Finance Manager to track and monitor all incoming supplier invoices and execute data entry within Spend system
  • Coordinate and manage project closeout processes in collaboration with local Project Management teams
  • Manage vendor relationships and coordination through Aravo vendor management system, maintaining compliance and documentation
  • Provide comprehensive AW (Adaptive Work) reporting and data entry support while creating projects within the platform
  • Generate regular status reports and dashboards for stakeholder communication ensuring data integrity across systems
  • Serve as backup support for client Project Link data entry and collaborate across teams for seamless delivery
  • Assist in creating comprehensive invoice bundles for processing and maintain accurate financial records
Required Qualifications:
  • Bachelor's degree in Business Administration, Project Management, Finance, or related field
  • At least 2 years of experience in project management, operations support, or similar role
  • Experience with commercial real estate or construction projects
  • Strong Excel and financial systems experience with attention to detail in data management
  • Excellent organizational and time management skills
  • Effective communication and collaboration skills across multiple teams
  • Ability to maintain accuracy in financial tracking and documentation
  • Experience supporting project milestone tracking and reporting activities
Preferred Qualifications:
  • Proficiency in project management software (Adaptive Work and Spend experience preferred)
  • Knowledge of vendor management systems (Aravo experience a plus)
  • Understanding of project accounting and invoice processing procedures
  • Experience with financial reporting and analysis
  • Knowledge of project closeout processes and documentation requirements

Estimated compensation for this position:

70,000.00 - 85,000.00 USD per year

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
