Job Summary |
The Administrative Assistant I will be responsible for managing the front/welcome desk at the International Center and providing operational support to the Finance and Administration team.
The Administrative Assistant I (
AAI) will provide administrative support to the International Center (IC) and play an integral role in ensuring smooth day to day business operations.
The Ideal candidate will be a self-starter who brings enthusiasm and a positive attitude, takes ownership of tasks and responsibilities, and requires minimal supervision. |
Minimum Education and Experience |
Bachelor's degree and two years office administration or project management experience or an equivalent combination of education and experience. |
Preferred Education and Experience |
Bachelor's degree from an accredited institution with two or more years of work experience as a receptionist in higher education or similar customer service role.
Proficiency using Office 365 suite (particularly Outlook, Teams, Excel, Word, PowerPoint). |
Other Qualifications |
To the extent this position requires the holder to research, work on, or have access to critical infrastructure as defined in Section 117.001(2) of the Texas Business and Commerce Code, the ability to maintain the security or integrity of the critical infrastructure is a minimum qualification to be hired and to continue to be employed in the position. |
Essential Duties and Responsibilities |
Responsibilities include:
- Providing administrative support to IC units with efficiency and professionalism.
- Directing telephone, email, and in-person inquiries to appropriate IC team member.
- Achieving a high level of customer satisfaction by maintaining a welcoming and helpful demeanor when responding to inquiries and/or addressing complaints.
- Start- and end- of day routine including opening and closing of office.
- Ensuring reception area and common spaces are kept organized and clean.
- Managing shared calendars and room access.
- Tracking levels and ordering supplies through central purchasing system.
- Adhering to University and Department operating guidelines.
- May supervise student staff and their work schedules.
- Other duties as assigned.

Physical Demands and Working Conditions |
Standard office environment. Will included periods of stationary work while seated at desk, and operation of computer and other office productivity machinery, such as printer/copier. The person in this position will frequently also be required to go to and from different buildings at the university to complete their work. |
