Job Summary:

The Faculty Services Professional (FSP) is a key member of the Office of Faculty Affairs (OFA), delivering high-level administrative support in a service-focused environment. This role is central to managing faculty appointments and promotion processes within the School of Medicine, which encompasses approximately 6,000 full-time and 3,000 volunteer faculty. The FSP oversees records management across multiple platforms (Smartsheet, DocuSign, OnBase, Faculty Information Management System, CU Payroll System) and contributes to the effective administration of faculty appointments, promotions, and related processes.

Supervision Received: The FSP will report to the Director of the Office of Faculty Affairs.

Supervision Exercised: This position has no direct supervision

Key Responsibilities:

Faculty Appointment and Records Management (45%)

  • Enter and maintain information for new faculty appointments and changes to current appointments in the Faculty Information Management System (FIMS), ensuring compliance with institutional policies and faculty governance guidelines.

  • Exercise professional judgment in validating the accuracy and integrity of appointment records through systematic quality control and data verification protocols.

  • Generate and analyze system reports to support decision-making, strategic planning, and compliance monitoring related to faculty affairs.

  • Review and complete faculty verification documents from medical staff offices nationwide, confirming appointment details for current or former faculty.

Document Routing and Processing (40%)

  • Manage the routing of DocuSign envelopes for faculty letters of offer and other faculty-related documentation, ensuring adherence to institutional protocols and approval workflows.

  • Maintain and update DocuSign templates across 24 academic departments in alignment with policy changes and operational needs, under the guidance of the supervisor.

  • Oversee the proper indexing and archiving of completed DocuSign documents into OnBase, including manual uploads and metadata verification to ensure compliance with records management standards.

  • Serve as a resource for resolving complex routing and indexing issues within the faculty appointment process, applying problem-solving skills and system knowledge to maintain process integrity.

  • Respond to requests for faculty appointment documentation by retrieving and verifying records from OnBase, ensuring timely and accurate information delivery.

Administrative and Faculty Support (15%)

  • Provide administrative support to the SOM Faculty Senate, including scheduling meetings, preparing agendas, managing meeting logistics, distributing communications and minutes, and assisting Faculty Senate Officers.

  • Provide administrative and operational support for tenure dossier submissions to the Chancellor's Office by reviewing and quality-checking materials, and ensuring all documents are accurately archived for reference and historical records.

Work Location:

Hybrid - this role is eligible for a hybrid schedule of 3 days per week on campus and as needed for in-person meetings. Additional on-site days may be required as needed. Please see the campus-wide policy for additional information.

Qualifications:

Minimum Qualifications:

Entry Level:

  • Bachelor's degree in education, psychology, business, public administration, health care, educational technology, social science, liberal arts, communications, accounting, finance, library science, or a directly related field from an accredited institution.

Intermediate Level:

  • Bachelor's degree in education, psychology, business, public administration, health care, educational technology, social science, liberal arts, communications, accounting, finance, library science, or a directly related field from an accredited institution

  • One (1) year of professional experience providing administrative support, managing records, data, or documents across multiple platforms or systems.

Substitution: A combination of education and related technical/military/paraprofessional experience may be substituted for a bachelor's degree on a year-for-year basis.

Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications:

  • Two to three (2-3) years of professional experience in providing data entry services.

  • Two to three (2-3) years of professional experience in higher education and/or academic medical environment.

Knowledge, Skills, and Abilities:

  • Strong communication skills, both written and oral, with the ability to build effective working relationships across all levels of the institution.

  • Demonstrated customer service orientation and commitment to fostering belonging, access, and fairness.

  • Proven ability to work independently and collaboratively, take direction, and contribute to team goals.

  • High ethical standards with experience handling sensitive and confidential information.

  • Exceptional organizational skills, attention to detail, and ability to manage multiple priorities.

  • Strong analytical and problem-solving skills with sound judgment and discretion.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and experience with additional platforms such as OneDrive, Teams, DocuSign, Smartsheet, and records management systems.

Anticipated Pay Range:

The starting salary range (or hiring range) for this position has been established as:

  • Entry Level: $45,017 to $57,262

  • Intermediate Level: $48,989 to $62,314

The above salary range (or hiring range) represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting. This position may be eligible for overtime compensation, depending on the level.
