Summary:

UNC Health is seeking an experienced Executive Assistant Senior to support leaders within the Legal Office, which encompasses Legal, Audit, and Risk functions. This role serves as a trusted partner to senior leadership, anticipating needs and providing seamless support for complex schedules, communications, and departmental priorities.

The Executive Assistant Senior oversees the daily functioning of the executive office, including managing office and space requirements, organizing critical information systems, and maintaining confidential records. The Executive Assistant Senior coordinates high level meetings, prepares key documents and presentations, and acts as the central liaison between leadership, internal teams, and external partners. Success in this role requires strong professionalism, discretion, and the ability to proactively manage priorities in a fast paced, dynamic environment.

Responsibilities:
Serve as the primary assistant to an Associate Vice President, Vice President, Senior Vice President, President, or UNCHCS officer, proactively anticipating needs related to schedules, priorities, and daily activities. Provide high level administrative and clerical support to address emerging issues and ensure seamless operations.

Act as a liaison with department directors by communicating, following up, and coordinating project and reporting deadlines for senior leadership. Prepare and distribute meeting agendas, PowerPoint presentations, and supporting documentation in advance. Record, prepare, and distribute meeting minutes.

Manage incoming communications, including screening telephone calls, visitors, and appointment requests. Provide information or direct inquiries appropriately. Open, read, and triage mail addressed to leadership. Draft and respond to routine correspondence and emails as directed.

Coordinate complex calendars for directors and executives, scheduling appointments, meetings, and commitments. Arrange logistics for meetings, conferences, travel, and events involving executives and external officials.

Provide occasional budget support by assisting Vice Presidents with directors' budget activities as needed. Maintain organized information systems by managing electronic and paper files for the executive office. Ensure materials are easily accessible, current, and securely maintained in compliance with confidentiality standards.

Oversee office operations, including managing office and space needs, ensuring an efficient and well-functioning work environment for the department.

Professional Experience Requirements:
* Four years of high level administrative/office management experience; preferably in support of a vice-president or president of an organization.
Knowledge/Skills/and Abilities Requirements:
* Microsoft products: Outlook, Word, Power Point, communication and computer skills, time management, technical skills, calendar management, and meeting planning
