  • Analyzes and organizes office operations and procedures, information management, literature and filing systems, requisition of supplies, and other clerical services.
  • Order office supplies, such as paper, printed materials, literature, coffee and vending as well as office and phone equipment.
  • Maximizes office productivity through proficient use of appropriate software and hardware applications.
  • Create consistent communications for the entire office, including policy and procedure.
  • Researches and develops resources that create timely and efficient workflow.
  • Establishes uniform correspondence procedures and style practices.
  • Manage the flow of inbound and outbound mail. May include mass mailing projects as required.
  • Maintain office budget. Identify opportunities for cost savings. Negotiate pricing with vendors.
  • Maintain and update Sales Support manual.
  • Formulates procedures for systematic retention, protection, retrieval, transfer, and disposal of records.
  • Responsible for researching lease agreements and maintenance of office equipment, supplies, vending and coffee machines.
  • Supervise the maintenance and alteration of office areas and equipment, as well as layout, arrangement and housekeeping of office facilities.
  • Handling of guest security and creating functional security procedures for the reception/front desk area.
  • Ensures emergency procedures are up to date and front desk associates are trained on proper procedures for fire and severe weather drills.
  • Customer Service training and development of receptionist's phone and guest service skills
  • Coordinates activities of front desk support staff to assist with projects from other departments.
  • Manage phone systems and switchboards. Able to route, transfer and coordinate new phone moves for the building. Additionally, handle troubleshooting and resolution for phone related issues.
  • Coordination of building maintenance requests for front desk, office areas.
  • Involved with coordination of key committee activities. (Sales Incentives, Holiday Party, etc.)
  • Responsible for Guest service coordination for training and meetings. Responsibility would include room reservations, preparations, meals/refreshments and materials prepared
  • Maintain order and overall neatness of facility.
  • May be responsible for other duties assigned which could include customer service and/or sales support responsibilities.

  • Four plus years of administrative experience with a high level of multitasking and organization skills needed, management/supervisory experience and computer proficiency with Microsoft Office and/or Google products, as well as SAP preferred.

EDUCATION and/or EXPERIENCE

  • High school diploma or general education degree (GED); college education preferred.

LANGUAGE SKILLS

  • Ability to write reports, business correspondence, and procedure manuals. Has the ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

MATHEMATICAL SKILLS

  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.
