What you'll be doing
-
This position provides complex administrative support for the Disease Prevention and Response (DPR) programs. This individual reports to the DPR Senior Executive Assistant. Some Essential Functions Include:
- Meeting Support: Create agendas, attend or listen to recordings of meetings, transcribe/compose meeting minutes for various meetings (internal and/or external).
- Develop and monitor data collection tools using MS Forms, SharePoint tools, Eventbrite or other software to collect information such as event registrations, inventory information, activity logs, and special projects.
- Create, format, edit/proofread, and update documents such as fact sheets, letters, reports, newsletters, forms, provider alerts/advisories etc., for division's programs, using intermediate-advanced Word and Adobe software features.
- Prepare travel packets for DPR staff following SRHD travel policies.
- Obtain travel estimates; prepare pre-travel packets for approval
- Ensure pre-payments for registration, hotel, airfare are made.
- Collect final travel receipts/info from travelers; prepare final travel packets; route for approval and reimbursement..
- Support outbreak response activities that may take precedence over other assignments - data management, WDRS entries/lookups, document creation, incoming/outbound phone calls, EMR or IIS lookups, or other activities that may vary depending on size and type of outbreak.

Required Qualifications:
- High School Graduate or GED
- At least 3 years of advanced administrative support experience, including computer applications such as Office 365, spreadsheet development and management, office equipment functions such as telephone and email, database management, customer service skills, etc.
