Job Description

As an Executive Assistant, this position will be responsible for the following:

  • Coordinate the schedules of the Dean and Associate Dean.
  • Oversee verbal and written communications related to donor relations, including providing support to the college's Advancement Officer.
  • Coordinate invited speaker visits and contracts; plan and execute events for the entire college, including MedOpp and Global and National Fellowships-up to 40 events per year.
  • Administer fiscal responsibilities for the college in collaboration with shared services, departmental units, and the Provost's Office. This includes stewardship, expense reports, One Card reconciliations, and travel arrangements.
  • Order supplies for events via Show-Me Shop or One Card.
  • Maintain office organization, including physical supplies and virtual files in SharePoint.
  • Research, gather, and analyze relevant data; maintain organized records.
  • Serve as office manager and supervise other office staff, including student workers.
Shift

40 hours/week, some evening and weekend responsibilities may be required.

Minimum Qualifications

Bachelor's degree or an equivalent combination of education and experience and at least 3 years of experience from which comparable knowledge and skills can be acquired is necessary

Preferred Qualifications

Prefer previous event planning experience.

Anticipated Hiring Range

Salary Range : $21.63 - $27.88
Grade: GGS: 008
