  • Department Overview:

Join the Residential, Retail and Supply Chain Services (RRSS) team at UC San Diego, a dynamic and innovative campus department dedicated to delivering exceptional service to the university community. As a valued RRSS team member, you will be contributing to a broad and complex organization consisting of five key units: Housing, Dining and Hospitality (HDH), Integrated Procure-to-Pay Solutions (IPPS), the UC San Diego Bookstore, Triton Print & Digital Media, and the Early Childhood Education Center (ECEC). With a focus on innovation and customer satisfaction, RRSS aims to inclusively meet the diverse needs of the UC San Diego community while fostering a sense of belonging for our students and staff.   • Position Description:

Provides high-level administrative support to the Director and Management within Facilities and Building Services (FBS) for Housing, Dining, Hospitality (HDH), and administers/coordinates a wide variety of moderately complex projects. Uses professional concepts to apply organization policies and procedures to administer various ongoing administrative and operational issues. Analyzes and resolves operational problems of moderate scope. Provide research and analysis to the Director and the FBS department on various special projects, processes, budgets, and procedures. Develops and maintains budgets for various BFS programs and projects. Maintains sensitive and confidential information in electronic and paper form. Independently takes the initiative to solve all issues and problems that arise in doing business. This includes setting priorities, providing work direction to students and administrative staff, and handling several tasks at once while maintaining professionalism and strict confidentiality standards. Will use a variety of computer applications to include, but not limited to Microsoft Suite (Word, Access, Excel, Outlook, PowerPoint, and Publisher), Kronos, Persona key/lock system, RMS software, Oracle, Maximo, and SharePoint.

Overtime and weekends may be required.

QUALIFICATIONS
  • Demonstrated ability to provide daily operational management and support to the Facilities and Building Services division.

  • Experience in project management including the ability to determine project goals and timelines and stakeholder needs, develop budgets, allocate resources, and ensure the project meets established budget and timeline goals.

  • Ability to develop cost analysis and drafting budget proposals, with skill in monitoring expenditures for each project/task/event and having the knowledge to analyze fiscal data and develop modifications as necessary.

  • Ability to make recommendations for operational and policy changes. Demonstrated ability in analyzing information, situations, practices, or procedures to define the problem or objective, identify relevant factors, formulate logical and objective conclusions, and recognize alternatives and their implications.

  • Ability to use sound judgment in responding to issues and concerns.

  • Solid organizational skills and ability to multi-task with demanding timeframes.

  • Ability to provide work direction to administrative and student staff. This includes delegation of tasks, training, feedback, and ensuring that tasks are completed within the required timelines.

  • Solid communication and interpersonal skills to communicate effectively with all levels of staff verbally and in writing. Excellent interpersonal as well as oral, and written communication skills to interact with a variety of personalities at all levels of the organization and high level contacts from all over the world. Ability to convey information clearly and concisely.

  • Working knowledge of common organization-specific and other computer application programs. Demonstrated proficiency using computer software applications including but not limited to MS Office Suite, Internet Explorer, Zoom, Sharepoint, Maximo, Kronos or other timekeeping applications, and other software packages to streamline work for effectiveness and efficiency.

  • Ability to use discretion and maintain confidentiality.

  • Demonstrated ability to schedule, arrange, and coordinate meetings and special events, manage travel arrangements, and prepare accurate travel-related forms for submission and reimbursement.

Pay Transparency Act

Annual Full Pay Range: $68,382 - $105,695 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $32.75 - $50.62

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
