We are looking for an Executive Assistant to join our FOX Entertainment team to support the Senior Vice President and up to two additional executives in the Alternative Entertainment department. We're looking for someone who has 1+ years of experience working for a high-level executive in the TV or entertainment industry. The candidate must have experience handling a wide range of administrative and executive support related tasks, and must be able to work well within a team in an environment of constantly changing priorities. The candidate must have superb organizational skills, an eye for detail, excellent written and verbal communication skills, an understanding of the industry, and a desire to work in unscripted television. It is important for this person to be able to anticipate the needs of the executives, confidently multitask, and prioritize under pressure in a fast-paced environment. You must be a self-starter. This person should feel comfortable interacting with various executives and high-level personnel and should feel confident acting as a liaison between executives, agents, talent, and buyers.

A SNAPSHOT OF YOUR RESPONSIBILITIES

  • Greet guests, answer and roll calls, schedule a heavy calendar, coordinate and maintain appointments/meetings, maintain files, book reservations, and coordinate all other special projects
  • Handle daily administrative tasks, including but not limited to answering calls, scheduling, updating department tracking, contacts, and meeting agendas
  • Coordinate travel arrangements (domestic and international) and other administrative duties (i.e., processing travel and expense reports, filing, etc.)
  • Act as liaison with other internal departments and external contacts to execute assignments and represent the team in a professional and efficient manner
  • Oversee all documents and systems relating to Development, i.e., tracking all materials coming in and uploading them to the proper BOX file, maintaining systems and grids tracking all development projects, tracking BA terms for when development products are expiring, etc.
  • Oversee a high volume of incoming pitches and creative materials, and contribute to the evaluation of the show concept
  • Oversee the FOX alternative Intern program, including interviewing them, training them, and managing their day-to-day intern responsibilities
  • Proactively contribute to pre-production creative meetings for shows in development, including casting, format, talent, etc.
  • Create presentations and documents using PowerPoint and Keynote.
  • Watch and track current competitive shows.
  • Provide key insight into social and digital trends.
  • Anticipate the needs of the executives and deliver high-level, efficient support
  • Keep current on Company projects, events, and issues, and provide updates to your supervisor
  • Serve as backup to other administrative assistants when necessary
  • Assist with departmental projects and events as needed
  • Provide personal assistance on various projects and activities

WHAT YOU WILL NEED

  • 1+ years of experience as an Executive Assistant
  • Previous entertainment, agency, Network, or production experience
  • Team player who operates in a fast-paced setting
  • Understanding of how to prioritize and respond accordingly to changing business needs
  • Excellent communication and follow-up skills
  • Ability to multitask
  • Proficiency in Microsoft Office Suite, Outlook, Advanced Excel, PowerPoint, and Keynote
  • Able to organize and establish administrative procedures independently, draft correspondence and reports, and work under pressure
  • Ability to handle confidential information and interact with high-level executives
  • Office coverage requires extended work hours - must be available to work overtime and weekends when production necessitates it

Pursuant to state and local pay disclosure requirements, the pay rate/range for this role, with final offer amount dependent on education, skills, experience, and location is $21.00-25.00 per hour. This role is also eligible for various benefits, including medical/dental/vision, insurance, a 401(k) plan, paid time off, and other benefits in accordance with applicable plan documents. Benefits for Union represented employees will be in accordance with the applicable collective bargaining agreement.
