Provide administrative support for the claim administration process


  • Enter new claims into the Vehicle Services applications, claims are received via phone, email, web, client applications and fax - referring to client database for specific instructions.
  • Monitor assignment queue for new claims entered directly by clients.
  • Use clients' application to obtain claim information and update clients with our field staff information.
  • Monitor queue for rejected files by field staff and reassign as directed by Regional Product Managers.
  • Provide customer service to clients, insureds, claimants, etc.
  • Escalate calls as necessary to other parties for resolution.
  • Process invoice approval and review, confirm billing based on Non Sisdat client instructions.
  • Ensure correct routing of invoices approved via manual approval process.
  • Ensure correct documents are attached where appropriate.
  • Process invoice corrections when needed.
  • Monitor and resolve transmission queue errors.
  • Assist management with reports or provide reports as needed.
  • Performs other duties as needed.
  • Perform accurate Manual Entry of all data into the Snapsheet Claims Management System.
  • Review and verify claim documents, reports, and attachments to ensure completeness before entry.
  • Maintain organized and detailed records within the system to support claims processing and reporting.
  • Identify and correct data discrepancies or missing information to uphold data integrity.
  • Serve as the primary point of contact for clients and appraisers, maintaining daily communication to ensure smooth claim handling and timely updates.
  • Coordinate with internal teams and external appraisers to schedule inspections, manage assignments, and address questions or concerns promptly.
  • Provide clear and consistent status updates to clients regarding claim progress, timelines, and next steps.
  • Build and maintain strong relationships with clients and appraisers to foster trust, collaboration, and satisfaction.
  • Identify and resolve issues proactively by liaising between clients, appraisers, and internal stakeholders.
  • Document all communications accurately in the claims management system to ensure transparency and continuity.

  • High school diploma; GED or the equivalent combination of education and experience.
  • At least one year of prior administrative experience working in an office setting is required; preferably in the insurance industry.
  • Knowledge of V-Tech application preferred.
  • Good typing and 10 key skills.
  • Strong computer skills along with a strong competency in Excel.
  • Good telephone communication skills.
  • Must possess strong customer service skills.
  • Ability to operate standard business machines such as calculator, fax machine, copier machine, and computer.
  • Must complete continuing education requirements as outlined by Crawford Educational Services.
