Overview

This position provides administrative support to the Trust Special Assets Group. Coordinates the setup of special assets with Middle Office to ensure complete information, appropriate insurance coverage, and accurate documentation. Partners with other property management associates regarding all notes receivable and payable as well as processing expenses related to special assets in estate and trust accounts. Develops reports and spreadsheets that assist in managing real estate, notes, and partnerships, closely held businesses, personal property, and liabilities secured by real estate. Facilitates daily operations through a range of tasks including answering phones, sending mail, and other administrative duties.


Responsibilities

  • Asset Management - Facilitates the management of real estate, notes, partnerships, closely held businesses, personal property, and liabilities secured by real estate. Oversees in partnership with the Property Managers all notes receivable and payable, arranges ancillary administrations, and assists in the management of DMV-titled vehicles held in trusts and estates. Addresses requests from management and associates regarding special asset information and administration.
  • Documentation - Responsible for coordinating with Middle Office the set up of special assets into the department accounting system, which involves sourcing information, reviewing documents, and creating checklists for each asset. Creates reports and spreadsheets to assist with data management. Maintains all Trust Special Asset files and imaging.
  • Business Support - Performs a variety of administrative and operational tasks that facilitate the daily workflow. Monitors insurance coverage placements, verifies, and makes changes as necessary to ensure the appropriate coverage on all real estate assets. Streamlines department communications by answering phones and assisting with incoming or outgoing mail.
  • Processing - Pays or processes all bills and expenses related to special asset from various estate and trust accounts. Processes rent, balances deposits, and notes payments for accurate record keeping. Confirms payment of taxes on real property assets and real estate serving as collateral. Manages tax listings where appropriate.

Qualifications

Bachelor's Degree and 0 years of experience in Trust OR High School Diploma or GED and 4 years of experience in Trust
