Global Finishing Solutions (GFS) is searching for a driven Project Admin/Coordinator to play a vital role in our ERP implementation - one of the most significant system upgrades in our company's history. As a key member of the project team, you'll keep things running smoothly behind the scenes and in the spotlight - coordinating details, managing documentation, tracking deliverables, and supporting communication between departments and vendors. You'll make sure meetings are productive, timelines stay on track, and no detail slips through the cracks.

What Success Looks Like

• Drive project organization by scheduling and coordinating meetings, workshops, and training sessions.
• Keep leadership informed by maintaining up-to-date RAID logs (Risks, Actions, Issues, Decisions).
• Manage critical documentation and ensure strict version control throughout the ERP implementation.
• Support testing and go-live activities to help deliver a smooth, on-time rollout.
• Track training, gather feedback, and support change communications to keep the organization aligned.
• Coordinate vendors and logistics, ensuring schedules, tasks, and deadlines are met.
• Maintain project schedules and reports for leadership, highlighting progress and key milestones.
• Prepare and monitor important project documents such as change orders and quality orders.
• Keep project files organized and accessible, ensuring accuracy and version control.
• Support data input and performance metrics to measure project impact.
• Communicate clearly and professionally with team members, leadership, and external partners.

Qualifications That Shine

• Strong organizational skills with a sharp attention to detail.
• Clear and professional communication, both written and verbal.
• Experience in project administration, coordination, or similar roles.
• Comfort managing multiple priorities in a structured, deadline-driven environment.
• Ability to track tasks, follow up on issues, and ensure deliverables are completed on time.
• Proficiency in Excel and experience maintaining trackers, logs, or project dashboards.
• Proactive problem-solving mindset - you spot gaps and take initiative to close them.
• Familiarity with project management tools such as Smartsheet, SharePoint, or similar platforms.
• Exposure to ERP systems (experience with Epicor is a plus).
• Experience supporting IT or system implementation projects.
