Role of the Senior Retirement Plan Specialist
Under close supervision, this role will support Recology's multiple retirement plans and function as an HR systems administrator, while coordinating with outside service providers, ensuring plan compliance, and providing superior customer service to our employees across multiple operating companies. Will work directly with Recology's Employee Stock Ownership Plan (ESOP) and support our unique employee ownership culture.
Essential Responsibilities
- Assists the Retirement Benefits Program Manager in administering multiple retirement plans (Defined Benefit Pension, 401K and Employee Stock Ownership Plans) including enrollment, tracking, and reporting.
- Functions as an approachable first point of contact for employee owners as well as retirees to answer and respond to questions and requests via telephone, email, and text communication. Researches and provides information to participants verbally or in written format in a timely manner.
- Administers, researches, analyzes, and resolves issues employees are experiencing with their retirement plan.
- Assists with processing payments and deposits to and from the pension trust and maintains plan expense spreadsheets.
- Assists with monthly and annual reconciling of multiple retirement plan trusts.
- Runs eligibility files for third party administrators and is responsible for researching and answering inquiries from third party administrators regarding data integrity including root cause analysis. Works with IT team to test and update files to ensure that correct data is being reported.
- Tracks and reports data for multi-employer pension and 401(k) plans for participating Recology employees which includes detailed review of multiple vendors files to ensure ongoing data is correct and complete.
- May assist with annual governmental reporting relating to retirement benefits such as the Form 5500, Form 8955-SSA, and the annual PBGC report.
- Assists with providing annual benefit plan auditors with data requests, completing reconciliations, and answering questions regarding administration of plans.
- Assists in creating and maintaining written documentation in relation to the HRIS systems including making recommendations to streamline and automate HRIS processes and proactively anticipate issues.
- Collaborates with payroll on various items including payroll deferrals, compensation totals, and troubleshooting issues.
- Creates reports and queries for data requests, and when needed, assists other team members with report requests.
- May assist with reviewing, updating, and/or coordinating the distribution of summary plan descriptions and benefit description booklets for employees and retirees.
- Assists with the development, implementation, and coordinating mass mail/email campaign of benefit communication materials, including legally required notices and employee presentations.
- May coordinate and travel to conduct employee benefit related meetings or fairs.
- Works on Human Resources and Benefits-related projects in conjunction with other team members.
- Maintains appropriate links/contact information on HR and vendor portals to ensure participants receive the correct information.
- Travel may be required for meetings and/or site visits.
- Other duties as assigned.
Qualifications
- Minimum three years related experience in benefit plan administration.
- Technical and professional principles, practices, laws, applications and programs in position related area (e.g., JD Edwards, Oracle Fusion, benefits operations, and benefit laws such as ERISA, PPA, SECURE ACT, CARES, COBRA, HIPAA).
- Strong analytical math skills to determine benefits, payments, and perform statistical analyses of benefit plans.
- Demonstrates accountability for tasks and duties assigned to them.
- Prove ability to effectively and efficiently work with and analyze large amounts of data.
- Ability to understands, interpret, and follow technical documents.
- Proven ability to maintain confidential and sensitive information.
- HRIS System and query report (e.g., Hubble) experience.
- Computer programs, including Microsoft Office suite of applications and advanced Excel skills.
- Bachelor's degree required.
- Certified Employee Benefits Specialist (CEBS) or The Retirement Plans Associate (RPA) designation certification preferred.
