Job Summary and Responsibilities

We are seeking a detail-oriented and tech-savvy Administrative Assistant with a focus on document digitization to support one of our customers. The ideal candidate will be responsible for organizing, scanning, and digitally archiving physical documents in the customers database while supporting day-to-day office operations. This role is key to improving document accessibility and ensuring the secure handling of organizational records.

ESSENTIAL DUTIES & RESPONSIBILITIES include the following. Other duties may be assigned:

  • Collect, organize, and prepare physical documents for scanning
  • Scan, name, and file documents in accordance with customer's naming conventions and retention policies
  • Verify the accuracy and clarity of digitized files
  • Maintain customer's file management systems
  • Ensure confidentiality and data security of sensitive information
  • Track and report progress on digitization project
  • Provide support to other departments by retrieving archived files when needed
  • Collaborate with IT or records management teams to improve scanning workflows and systems
  • Perform other administrative duties as assigned


Qualifications

  • High school diploma or equivalent; Associate degree preferred
  • Previous experience in an administrative or clerical role is mandatory
  • Basic knowledge of scanning equipment and document management software
  • Strong attention to detail and organizational skills
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and basic file management
  • Ability to handle confidential information
  • Proactive and self-starter with good verbal and written communication skills
  • Comfortable working independently and managing repetitive tasks
  • Ability to sit or stand for extended periods and light lifting of documents or boxes
