Description
As the Support Services Coordinator, you'll provide administrative support for our Hawaii Cement Team and Executive Management Team, both Administration and Operations. This role ensures smooth day-to-day operations while assisting in office communication, documentation, and special projects aimed at employee safety, employee engagement, and business improvement processes/programs, including interactions with diverse external and internal customers at all levels of the organization. Oversees and maintains the Administration building by coordinating regular inspections, repairs, and upgrades to ensure physical structure and systems are in good working order. Minimum Requirements
- An Associate degree in majors related to business, affiliated fields, or equivalent experience
- Well-versed with MS Office Suite products, including Excel, Word, Outlook, Google Smartsheets and PowerPoint
- Proficient math, verbal, and written skills
- Minimum three years experience in administrative or office management roles
- Must possess a valid driver's license and maintain an acceptable driving record
- Able and willing to work a flexible schedule, including some weekends and evenings.
Preferred Requirements
- A Bachelor's degree in majors related to business, affiliated fields, or equivalent experience.
- Strong knowledge of MS Office Suite products and Adobe InDesign.
- Strong organizational, analytical, verbal, and written communication skills
- Ability to multi-task, prioritize, and meet deadlines
- Five or more years experience in administrative or office management roles
Duties and Responsibilities
- Set a positive safety example. Drive and support corporate and local safety initiatives.
- Provide administrative support including calendar management, meeting coordination, preparing correspondence, compiling reports, and managing files and records. Creates visual products/materials for dissemination.
- Coordinate company travel; booking flights, reserving hotel and car as needed.
- Organize and coordinate programs and events such as Aloha United Way Campaign, Special Olympics, Holiday Party, etc.
- Assists with the company training program, including identifying training needs with leadership, researching vendors, coordinating logistics, tracking completion and currency, and preparing and disseminating reports. Maintain the Master Training Calendar.
- Oversee the company's Substance Abuse Testing Program, including coordinating with vendors, maintaining testing supplies and equipment, scheduling tests, communicating testing requirements, managing records, and ensuring compliance with all applicable regulations.
- Support the company's People-First programs, including recruitment, onboarding, company policies, and the Team We Get To group. Participate and coordinate with TWG2. Helps with company communication strategies, to include the Life at Knife App, with internal and external customers, print and digital opportunities, and marketing.
- Manage the company's mobile device program, including overseeing service contracts, ordering, inventory control, and billing.
- Assist with the company Safety Program, including database input and management, recordkeeping, policy compliance, analyzing safety statistics, personal protective equipment (PPE) distribution, create and disseminate reports.
- Coordinate Administration building maintenance and repairs, identify and select vendors, and ensure all office supplies are available.
- Coordinate HC Calendar creation/distribution, Holiday Cards
- Assists and provides back up for Receptionist/Administrative Assistant when needed
- Works independently and within a team on projects with limited and direct supervision. Assists with planning, coordinating, and facilitating multiple projects.
- Performs such similar, comparable or related duties as may be assigned or required.
Knowledge, Skills, and Abilities
- Strong verbal and written communication skills
- Firm understanding of office procedures, record-keeping systems, and administrative processes
- Adept with computer MS Office skills/abilities
- Responsible initiative-taker with a strong work ethic
- Ability to work independently and in a team environment with limited direct supervision; perform consistently on long-term projects
- Strong time management, organizational and analytical skills
