The Cancer Center of Kansas (CCK) is seeking a full-time, on-site Clinical Administrative Assistant to join our team in our Wichita, KS offices. The typical work week is Monday through Friday, 8:30 AM - 5:00 PM with no major holidays, no on-call and no weekends.

What does this position entail?

This position is responsible for collaborating with and facilitating an efficient workflow and communication line between our nurse navigating and scheduling teams. Administratively supports inbound and outbound communications, takes part in record retrieval and attachments, process referrals, and process disability and FMLA paperwork. The role also involves triaging patient and facility phone calls, taking precise and timely messages, and coordinating daily with relevant staff to ensure all messages are addressed and followed up on.


Responsibilities

The essential duties and responsibilities of this position are:

  • Answers telephone calls, takes accurate messages, and screens and directs calls in a professional manner.

  • Handles clerical and administrative tasks to support staff and processes for day-to-day operations.

  • Is an administrative resource for departments and staff, especially clinical departments.

  • Assists in the distribution, retrieval and directing of records to support staff and providers to ensure efficient operations and patient care.

  • Designs, implements, and updates forms for use within the clinical teams by applying knowledge of software applications.

  • Maintains files in an organized and accessible manner to include updating information, purging files on a regular basis, and creating a new filing system as needed.

  • Communicates with all levels of management on information relating to projects, processes, programs, responsibility and any other management requests.

  • Documents actions, processes and procedures in an efficient manner for supporting processes, staff and programs directed as being responsible for.

  • Must use and accurately maintain electronic records and systems.

  • Collaborates with providers and various departments to help with operations.

  • Communicates with administrative colleagues when necessary.

  • Cross-trains in other roles for back-up as needed.

  • Attends required, applicable meetings.

  • Remains current on all compliance requirements.

  • Ensures all applicable policies and procedures of the company and Network are followed.

  • Completes other duties as reasonably requested.

Supervisory Responsibilities:

Qualifications

The ideal candidate for the position will have the following qualifications:

Education/Training:

  • High school diploma or equivalent required.

  • Associate's degree in business, office administration, or secretarial program preferred.

  • Minimum three years office experience, preferably in a medical office setting.

Experience:

  • Must have excellent communication skills, written and verbal. Proficiency in Microsoft Office (Outlook, Word, Excel) required.

  • Experience in EMR systems a plus.

Physical Demands of the Job:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Work may require sitting for long periods of time; also stooping, bending, and stretching for objects and supplies. Occasionally lifting objects or paper weighing up to 30 pounds. Requires manual dexterity sufficient to operate a keyboard, calculator, telephone, copier and other office equipment. Vision must be correctable to 20/20 and hearing must be in the normal range for telephone contacts. It is necessary to view and type on computer screens for prolonged periods of time. Requires full range of body motion including handling and lifting patients, manual and finger dexterity, and eye-hand coordination. Requires standing and walking for extensive periods of time. Occasionally lifts and carries items weighing up to 40 lbs. Requires corrected vision and hearing to normal range.
