Job Summary


The anticipated duration of this assignment is approximately 3 months.

Under the supervision of the Nurse Manager and in collaboration with clinical nursing staff, the Hospital Assistant III supports patient care within the OB/GYN practice. This role performs a wide range of personal care tasks, clinical procedures, and administrative duties to ensure high-quality patient care and smooth clinic operations. The Hospital Assistant III provides direct patient support, assists with examinations and procedures, performs laboratory and point-of-care testing, and upholds UCSF's PRIDE Values and AIDET communication standards.

Key Responsibilities:

Clinical Support

  • Perform routine clinical functions including vital signs, height/weight, pain screening, pregnancy episode creation, and chief complaint documentation.
  • Abstract patient information into the electronic medical record and document use of interpreter services.
  • Assist nurses, providers, and patients during exams and procedures.
  • Prepare exam rooms for OB/GYN procedures, including IUD insertion, endometrial biopsy, colposcopy, LEEP, cryotherapy, laser procedures, manual uterine aspiration, hysteroscopy, cystoscopy, and urodynamic testing.
  • Act as a patient chaperone as needed.
  • Float between clinic floors and Women's Health clinics based on operational needs.
  • Transport patients safely and monitor patient flow.
  • Perform point-of-care testing, obtain specimens, conduct laboratory procedures, and maintain related logs.
  • Prepare and pend orders for provider approval (e.g., imaging, vaccines).
  • Maintain clean, stocked exam rooms and ensure medication cabinets remain locked.
  • Assist with patient communications.
  • Comply with all infection control, safety, and clinical practice standards.

Communication

  • Demonstrate professional communication and uphold UCSF Telephone and House Standards.
  • Notify providers of patient delays and support optimal scheduling.
  • Communicate provider delays to front office staff and patients.
  • Share relevant updates with the care team, lead or participate in team huddles.
  • Assist patients with questions, concerns, and basic educational resource needs.
  • Utilize the Electronic Health Record to document vital signs, patient history, medications/allergies, POCT orders/results, refill encounters, messaging, and appointment scheduling.
  • Ensure all written and verbal communication is professional, clear, and grammatically correct.

Operations & Maintenance

  • Print results for providers upon request.
  • Schedule complex procedures and coordinate services.
  • Adhere to infection control guidelines.
  • Participate in quality improvement and customer service initiatives.
  • Serve as a backup for other care team members as needed.
  • Maintain supplies and laboratory equipment.

Clerical Duties

  • Schedule established patient appointments and complete patient registration.
  • Maintain confidentiality of medical records.
  • Prepare clinical paperwork and retrieve records from Apex and legacy systems.
  • Support follow-up of missed appointments.
  • Manage in-baskets and phone messages when needed.
  • Perform chart abstraction and route messages to providers/team members.
  • Obtain insurance authorizations for procedures, visits, and medications.

Other Responsibilities

  • Perform other duties as assigned.
  • Attend workshops, classes, and meetings and share learnings with the team.
  • Support team orientation activities.
  • Adhere to department policies including dress code and certification requirements.
  • Check expiration dates of supplies and medications.
  • Serve as a Centering Pregnancy Co-Facilitator.
  • Complete all annual competencies and mandatory training.

Department Description

UCSF's Temporary Employment Program (TEP) recruits and hires temporary employees for immediate clerical and technical support services to UCSF Departments and various off-campus locations. UCSF departments deploy temporary employees to work on special projects, fill in for regular employees who are on vacation or leave, or to temporarily fill a vacant position during recruitment. Frequently temporary employees become successful candidates for career and limited appointment positions.

Required Qualifications


  • Certification from an approved Medical Assistant Program or an equivalent combination of training and experience.
  • 1-2 years of outpatient OB/GYN experience.
  • Knowledge and abilities necessary to perform the duties of the position.
  • Flexibility to orient and work at all UCSF Health locations.
  • Current American Heart Association CPR Certification.

Preferred Qualifications


  • Familiarity with Epic.
  • Fluency in Spanish or Chinese (speaking, reading, and writing).
  • Experience collecting, entering, and reviewing clinical data.
  • Experience working with the public in a medical, hospital, or clinic environment.
