This position will work a hybrid schedule which includes a combination of working both onsite at the La Jolla campus and remotely.

DESCRIPTION

Under the supervision of the Assistant Vice Chancellor of Global Initiatives, the Events Manager is responsible for planning, coordinating, and executing events at the university-including conferences, meetings, trainings, receptions, and delegation visits.

In the events portfolio, the Manager will develop event concepts, themes, and timelines in collaboration with university stakeholders and liaise with domestic and international partners, vendors, contractors, and internal departments to ensure seamless logistics, including venue selection, catering, audiovisual needs, transportation, and security. The Manager will manage event budgets, and lead post-event analysis to inform future planning.

The role also oversees student event staff and volunteers, providing clear direction to deliver engaging, high-quality experiences that align with institutional goals and enhance audience connection.

QUALIFICATIONS
  • Experience planning, coordinating, and executing high-level events (conferences, trainings, receptions, delegation visits).

  • Thorough knowledge and understanding of concepts, principles and practices of event planning and public relations, including event design, organization and production.

  • Excellent communication and interpersonal skills, with the ability to collaborate with diverse stakeholders and build positive relationships.

  • Proficiency in event planning software, project management tools, and Microsoft Office suite.

  • Skill in effectively meeting budget and time constraints. Demonstrated ability to work under pressure and bring assigned projects to completion within given deadlines, exercising initiative and appropriate follow-up techniques.

  • Demonstrated organizational and project management skills to work successfully with clients to produce high quality events that meet client needs and appropriately represent the campus for fundraising events. Skills to provide excellent donor stewardship.

  • Strong organizational and project management skills, with the ability to multitask and prioritize effectively in a fast paced environment and work with international communities.

  • Highly developed interpersonal communication skills including political acumen and social perceptiveness. Excellent verbal and written communication skills to effectively communicate with diverse populations with competing priorities.

  • Highly developed judgment, decision-making and problem recognition / avoidance / resolution skills, including skill in determining those issues / problems that need to be brought to management's attention.

  • Knowledge of principles and practices of volunteer recruitment, supervision, motivation and evaluation.

  • Experience maintaining a high standard of productivity within a broad scope of responsibility despite frequent interruptions. Ability to complete large volume of diverse tasks efficiently, meeting established deadlines.

  • Ability to effectively work with invited guests, donors, government officials and university VIPs.

  • Knowledge of crowd management, crowd safety protocols, security and emergency procedures related to small, medium and large scale gatherings.

  • Ability to give clear directives and use independent, rational judgment to make optimal decisions.

  • Knowledge and skill to set and monitor work standards and protocols.

SPECIAL CONDITIONS

  • This position has been designated as a "mandated reporter" under the California Child Abuse and Neglect Reporting Act ("CANRA"), which requires professionals to report known or suspected instances of child abuse or neglect to law enforcement.

Pay Transparency Act

Annual Full Pay Range: $71,600 - $127,400 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $34.29 - $61.02

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
