Civil Service Title- Principal Administrative Associate II

The Division of Bridges seeks to hire a Principal Administrative Associate L2 to work in the Management Support Services/Community Affairs Unit. The successful candidate, under the supervision of the Executive Director of Community Affairs, will have the following responsibilities but not limited to:

Provide administrative support for the Executive Director of Community Affairs
Manage recoupment processing between the Bureau of Maintenance, Inspections and Operations and the DOT Finance team
Prepare trip packages and travel coordination - assist with the preparation of travel package by ensuring required documents are submitted; settle reimbursement package upon return; provide/complete Fiscal Certification Form, DOT FMS Imprest Fund Voucher, Personal Travel Expense Report; submit post conference report
Manage Outlook calendars and schedule meetings utilizing Outlook
311 Taskforce Manager: reviews 311 complaints in the system. Ensure complaints are responded to in a timely manner by Siebel users and follow up where necessary.
Review ARTs cases including updating working notes, closing cases and redirecting cases
Handle litigation requests/inquiries for the division
Manage the unit's absence control calendars
Draft memos and correspondences
Conduct administrative tasks including scheduling, scanning, distributing documents, and maintaining all files
Track Community Construction Liaison weeklies
Interact with the public on phone calls and inquiries
Assist with special projects as needed.

Knowledge of MS Word, Outlook, Excel

PRINCIPAL ADMINISTRATIVE ASSOC - 10124

Minimum Qualifications

1. A baccalaureate degree from an accredited college and three years of satisfactory full-time progressively responsible clerical/administrative experience, one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty; or
2. An associate degree or 60 semester credits from an accredited college and four years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described in "1" above; or
3. A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and five years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience as described in "1" above;
4. Education and/or experience equivalent to "1", "2", or "3" above. However, all candidates must possess the one year of administrative or supervisory experience as described in "1" above. Education above the high school level may be substituted for the general clerical/administrative experience (but not for the one year of administrative or supervisory experience described in "1" above) at a rate of 30 semester credits from an accredited college for 6 months of experience up to a maximum of 3 years.

New York City residency is generally required within 90 days of appointment.
